Our agency is looking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Community Corrections Division. This position works for the iCoach Transition and Resource Unit located at the Lynnwood Field Office, 18710 33rd Ave. W, Lynnwood, WA 98037.

iCoach (individualized, Community-oriented, accountability, collaborative help) aims to positively impact supervised individuals by using responsivity and coaching through increased supervisory engagement and relationship building with those they supervise.

Under general supervision from the Community Corrections Supervisor (CCS) for the Westside iCoach team, this position will aid and support the CCS, iCoach Transition and Resource Corrections Specialists, and other stakeholders with day-to-day duties and general office/administrative support. Work hours: Monday-Friday, 8:00 am to 5:00 pm.

Provide administrative and office support to the Regional iCoach Transition and Resource Unit.

  • Regular contact with people by telephone, speaker phone, in-person, in writing, Microsoft Teams, or other virtual platforms.
  • Manage a multi-line phone system.

Assist Corrections Specialists 3s (CS3s), Community Corrections Officers (CCOs), and Community Corrections Supervisor (CCS) in a wide variety of tasks to include filing, accessing and generating reports, tracking information, retrieving/entering data, providing information, etc.

  • Develop and maintain tracking systems to trace data, and documents.
  • Prepare and organize documents for CS3/CCS review and distribution to other groups/agencies/counties. Schedules appointments and meetings when requested or on a regular basis.
  • Use independent judgement in setting priorities, work methods, and revisions.
  • Plan, coordinate and execute office activities, to include stakeholder meetings, committees, councils, and use of conference room space.

Daily use of various computer programs and applications.

  • Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Evaluate and revise forms for internal use by utilizing Excel, Word, Adobe, and Visio.
  • Prepare graphs, tables, and charts.
  • Maintain and update manuals and references.
  • Use cloud-based platforms to assist in referral/resource management.

Other duties as assigned.

Required Qualifications
  • High school diploma or GED equivalent.
  • Six months of clerical experience to include basic knowledge of Microsoft Word, Outlook, and Excel.
  • And must possess and maintain an unrestricted driver's license valid in the state of Washington.

Telework Details

This position may be allocated for telework up to two days each week. Employees must use a reliable internet or cellular hotspot service at an authorized location within the state of Washington. Employees with an approved telework agreement in place are expected to perform assigned duties in a safe manner, take proper care of all state-issued equipment, and maintain confidentiality. You will be required to commute to a DOC facility or field office as business requires, which may include components of the onboarding and training process. Details will be provided before hire.
