Job summary

The Washington State Department of Corrections (DOC) has a unique role for a highly organized administrative professional to serve as the Administrative Assistant 4 to the Superintendent of Clallam Bay Corrections Center (CBCC)! CBCC is a 900-bed maximum, close, and medium-security facility for adult male individuals.

As the Administrative Assistant 4, you will provide complex and confidential administrative support, office management, and secretarial services while supporting the Superintendent’s Office in overseeing financial management, policy, staffing, facility operations, incarcerated programming, and daily operations across living units and service departments, including Secured Housing.

As an Administrative Assistant 4, some of your duties will include:
  • Providing Administrative Support Superintendent which could look like:
    • Providing confidential administrative support for the Appointing Authority who, as part of their regular course of duties formulates, determines and effectuates management policies with regards to labor relation policies; prepares for and participates in collective bargaining; and administers collective bargaining agreements
    • Developing, coordinating, monitoring and/or facilitating the initiatives and projects assigned to or initiated by the Superintendent
    • Independently providing timely collation of, and composition of, information as needed for the Superintendent
    • Using independent judgement to compose written responses for correspondence and special projects
    • Developing, typing, transcribing, proofreading, and editing all office correspondence to include confidential correspondence ensuring context is in compliance with policies and procedures
    • Maintaining supervisory filing system for Superintendent’s direct reports (staff)
    • Attending meetings as the Superintendents representative providing information and reports conclusions to the Superintendent and other appropriate staff
    • Managing calendar, scheduling meetings, and committing the Superintendent’s time upon request
    • Managing travel arrangements, i.e. hotel and car reservations
    • Screening the Superintendent’s phone calls and visitors and returns phone calls
    • Facilitating the contact for all incarcerated-to-incarcerated correspondence requests
  • Managing the Functions of the Superintendent’s Office
  • Assuming responsibility as the CBCC Facility Logon ID Coordinator (LID) & Coordinator/Liaison for records retention
  • Other duties as assigned

Telework Details

This position may be allocated for telework. If authorized for the role, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time. Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a drop in area available, however, a dedicated workspace within a DOC facility will not be provided.
