Job summary

State of Washington seeks a dedicated Office Assistant 3 for the Community Corrections Division in West Seattle. The role supports the CCS and CCOs, handling front desk duties, file management, and clerical tasks in a full-time, permanent capacity.

The ideal candidate will have a HS diploma or GED, at least six months of clerical/customer service experience, and solid MS Office skills. Work hours are Monday–Friday, 8:00 am–5:00 pm, at the West Seattle Field Office.

Community Corrections Division
West Seattle, WA

Monthly Salary Range: $3,849.00 to $5,124.00

Our agency is looking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Community Corrections Division. This position works for the West Seattle Field Office located at 6335 35th Ave SW, Seattle, WA 98126. Under general supervision from the Community Corrections Supervisor (CCS), this position performs file management and routine, advanced clerical support tasks for the CCS and Community Corrections Officers (CCOs). Working independently, you will perform a variety of complex clerical projects and assignments and perform duties involved with working at the reception desk. Work hours: Monday-Friday, 8:00 am to 5:00 pm.

Provide front desk reception.
  • Greet and direct clients, general public, and/or stakeholders to the appropriate staff.
  • Manage a multi-line phone system.
  • Ensure the public entry door is opened at 8:00 am and closed and locked at 5:00 pm.
Manage and maintain electronic and physical files.
  • Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Archive closed DOC field files.
Provide general office support.
  • Prepare supervised individual's (S/I's) ID letters and submit them to the Department of Licensing.
  • Schedule vehicle maintenance and input monthly mileage.
  • Respond to requests for information from CCOs and CCS.
  • Manage lobby flyers and resources.
Other duties as assigned.
Required Qualifications
  • High school diploma or GED equivalent.
  • Six months of clerical and/or customer service experience.
  • Basic level of proficiency and knowledge of Microsoft Office products to include Word, Outlook, and Excel.

  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases.

Desirable Qualifications
  • Two years of clerical experience to include a basic level of proficiency and knowledge of Microsoft Outlook, Word, and Excel.
