Job summary

Multnomah County Health Department is seeking a Bilingual Spanish Office Assistant 2 to join our health team. You will be the first point of contact for patients and visitors, handling check-in, scheduling, calls, and insurance verification in a fast-paced public health setting.

You will work closely with clinicians to ensure accurate data flow in Epic, support billing with co-pays, and help coordinate patient documentation.

Qualifications

  • Education/ experience: high school diploma or equivalent with 1–4 years of relevant office experience.
  • Bilingual in Spanish and English; language testing required.
  • CPR/BLS certification within 30 days of hire.
  • Must pass a reference check.

Responsibilities

  • Greet patients/guests; check in, answer calls, schedule appointments.
  • Verify demographics and insurance; confirm information in Epic Practice Management.
  • Coordinate with clinical staff; relay patient needs and data between departments.
  • Collect co-pays and payments per cash handling policies.
  • Review and distribute patient documents; ensure accurate entry in Epic.
  • Troubleshoot minor equipment issues and escalate as needed.
  • Maintain organized team reports and meeting notes.

The employee holding this position is designated as an Essential Employee under Multnomah County Personnel Rule 3-15-015, Essential Employees. This position is essential to the public health and safety, and required to report for duty regardless of County decisions to close or curtail other county operations. The anticipated work schedule will be Monday, Wednesday, Thursday, Friday: 8:00 AM - 5:00 PM, and Tuesday 10:00 AM - 7:00 PM once training is completed. During the initial 2-3 month training period, the new hire will work Monday - Friday, 8:00 AM - 5:00 PM.

This position will provide services in both the Spanish and English languages. Language testing will be required.

Responsibilities
  • Greet patients/guests; provide information and direct patients to services; answer incoming calls, and confirm appointments
  • Provide information regarding the clinic and other resources and refer to other information services
  • Act as a liaison with treatment staff and providers; relay information about patient needs such as walk ins, prescription pick ups
  • Follow up on client concerns if any complaints are known and take action or refer to appropriate sources.
  • Obtain and/ or verify demographics, race and ethnicity information and insurance coverage utilizing multiple databases; update registration and accounts in Epic Practice Management
  • Collect patient co-pays and payments following established cash handling policies and procedures
  • Receive, review, and distribute client documents, such as medical records from other clinics, faxes requesting prescriptions, requests for medical records.
  • Assure all other document documentation is entered in Epic appropriately; document patient related issues in EPIC
  • Troubleshoot equipment issues and reports necessary repairs as needed to supervisor
  • Assure team reports are in order, A/R equipment is available for meetings and accurately documents meeting notes

Minimum Qualifications/Transferable Skills
  • Education/ training equivalent to the completion of the twelfth grade.
  • One (1) to four (4) years of relevant office experience.
  • Must be bilingual in the Spanish and English languages. (Language testing is required.)
  • Must obtain a BLS/ CPR certification within 30 days of hire.
  • Must pass a reference check.
