Job summary

Kasper Electrical Inc is hiring an Office Assistant to support our office, field teams, and project accounting functions. You will manage tech needs, vendor coordination, and documentation while ensuring accuracy and compliance.

The role emphasizes organization, reliability, and effective communication with leadership and contractors. This is a full-time, in-person opportunity in South Florida with benefits including 401(k) and health insurance.

Responsibilities

• Manage company technology needs for staff, including setup and vendor coordination.
• Set up employee email accounts and provide Microsoft 365 support.
• Coordinate with vendors for uniforms, PPE, and office supplies.
• Coordinate meetings for field and office teams.
• Track safety and compliance training assignments (e.g., OSHA).
• Be the point of contact for office facilities and maintenance.
• Support employee recognition and morale initiatives.
• Request lien releases and lien waivers from vendors.
• Communicate with contractors and customers regarding documentation requests.
• Maintain lien releases, Notices to Owner, and project files.
• Request, collect, and track COIs.
• Follow up on outstanding documentation and keep records current.
• Maintain filing systems and tracking logs.
• Assist with project closeout documentation and payment-related requests.
• Provide administrative support to Accounts Receivable and Operations.
• Perform other duties as assigned.

The Opportunity - Office Assistant

We are seeking an organized, dependable, and detail-oriented Office Assistant to support our office, field teams, and project/accounting functions.

This role is the backbone of our day-to-day operations — keeping our people equipped with the tools and supplies they need, keeping our office running smoothly, and keeping our project documentation and compliance records accurate and current. You'll manage everything from device setup and vendor coordination to lien releases and Certificates of Insurance, working closely with leadership, project teams, and accounting to keep things moving.

• Manage company technology needs for staff — phones, tablets, and related devices, including setup, troubleshooting, and vendor coordination
• Set up employee email accounts and provide general Microsoft 365 support
• Coordinate with vendors to order uniforms, PPE, and office/breakroom supplies
• Coordinate meetings needed for field and office teams
• Track required safety and compliance training assignments (e.g., OSHA certifications and renewals)
• Serve as the point of contact for office facility and maintenance needs
• Support employee recognition and morale initiatives
• Request lien releases and lien waivers from vendors and suppliers
• Communicate with general contractors and customers regarding documentation requests
• Maintain and organize lien releases, Notices to Owner (NTOs), and project files
• Request, collect, and track Certificates of Insurance (COIs)
• Follow up on outstanding documentation and ensure records remain current
• Maintain accurate filing systems and tracking logs
• Assist with project closeout documentation and payment-related requests
• Provide administrative support to Accounts Receivable and Operations teams

Exceptional Candidates: Office Assistant

• 2+ years of office management, administrative, or construction admin experience
• Construction industry experience, particularly with lien releases, COIs, or project documentation
• Experience managing vendor relationships and procurement
• Takes initiative and follows through with minimal supervision
• Brings a proactive, service-minded approach to supporting a team
