Job description

The Office and Program Support Coordinator is responsible for the coordination and organization of Tewa Women United’s (TWU) Española, NM, office. The Office and Program Support Coordinator provides general administrative support duties for TWU’s three program areas and coordinates the front office at Unit A. Greeting and directing TWU guests to program locations and answering the main TWU phone line. The Office and Program Support Coordinator works with TWU staff to support the mission, goals, and objectives of TWU.

Location: Espanola, NM. This position is fully on-site with no options for remote work.

Status: Non-exempt, regular full-time (40 hours/week)

Rate: $20.60/hour (Please note that our offer process does not include negotiation on salaries and benefits, which can create inequities in pay across the organization.)

Duties And Responsibilities
Primary Duties
  • Assist with the oversight and coordination of TWU daily operations, programs and events.
  • Provide administrative support to TWU Program areas (EJ, RJ and GGHJ) including but not limited to, data entry, answer and direct calls, photocopying, monitoring office supplies and placing orders as needed.
  • Input into Monday.com receipts, invoices and expenses on a regular basis for each Program area.
  • Serve as the initial point of contact for visitors and directs them to appropriate staff members and/or programs.
  • Provide and actively maintain an up-to-date work plan developed in coordination with Program Managers.
  • Assist and help coordinate the planning and implementation for staff/ office events.
  • Maintain confidentiality of individuals seen at TWU.
  • Provide updates to TWU staff on office happenings and other TWU office related events.
  • Collect and file all Program sign-in sheets.
  • Assist with maintaining Constant Contact list; add names of people who wish to sign up for email list from Program sign-in sheets.
  • Ensure program calendars are up-to-date.
  • Assist with maintaining the TWU internal communications email database.
Internal Communications
  • Maintain lists of TWU staff, board, and contractors, and use or develop streamlined ways to communicate with each group, including Google email lists and Slack.
  • Provide updates to TWU staff on office happenings and other TWU office related events.
  • Ensure program calendars are up-to-date.
  • Attend and take notes at Opide event planning meetings.
  • Help oversee Slack for increased communication efficiency with TWU staff.
Outreach/ Community Building (External Communications)
  • Ensure all brochures and outreach material placed upfront are accessible and stocked.
  • Develop and maintain a Tribal Bulletin list with contacts, deadlines for materials and appropriate format for such materials.
  • Send outreach material, event flyers, etc. to Tribal Bulletins on a regular basis.
  • Develop, maintain and update a list of Tribal Governors, tribal staff contacts that are relevant for our Program areas.
Training and Classes
  • Work with Property Manager to schedule regular staff training on cyber security, building safety, and maintaining confidentiality.
  • Review and become proficient in using Monday.com to become a resource for Program staff on how to use Monday.com.
Opide – Campaign/ Movement Building and Connection
  • Attend and take notes at Opide event planning meetings.
  • Help oversee Slack for increased communication efficiency with TWU staff.

Perform other duties as assigned by TWU Program Managers and Directors.

Minimum Position Qualifications
  • Associates degrees or related work experience in related field of administrative support, office coordination, or outreach. An equivalent combination of education and/or experience may be substituted, as long as it directly relates to the essential duties and responsibilities.
  • Demonstrates ability to clearly establish goals and objectives, plan/organize activities and/ or projects.
  • Demonstrates good negotiation skills, works independently, and demonstrates good judgment.
  • Excellent oral, written, and interpersonal skills.
Knowledge, Skills And Abilities
  • Strong written, verbal, and listening communication skills to effectively and respectfully work with a diversity of audiences and situations.
  • Ability to utilize computer equipment, software and other electronic devices to perform work effectively and efficiently is desirable.
  • Working knowledge of Microsoft Word, Excel, Power Point, Monday.com, Google and database management software is desirable.
  • Strong organizational skills and ability to multi-task.
  • Multilingualism is preferred – Indigenous/Tribal languages, Spanish.
  • Knowledge and practice of collaborative problem-solving, conflict resolution, participatory planning, and community-based research/assessment.
  • Comfortable discussing environmental and social justice, racism, and social and economic inequalities.
  • Experience working with diverse groups.
  • Ability to interact with a variety of personnel at different levels of responsibility.
  • Ability to establish and maintain effective interpersonal relationships with co-workers and colleagues, collaborative partners, board members, government officials, volunteers, customers, and constituents.
