Driftwood Capital is seeking a detail-oriented and highly organized Office Administrator/Receptionist to support daily operations at our headquarters. This multifaceted role is central to maintaining a professional and efficient office environment and includes providing administrative support to senior executives, overseeing office operations, and managing front desk responsibilities. This is a full-time, in-office position. The work schedule is Monday through Friday from 9:00 AM to 6:00 PM.

Key Responsibilities

Administrative Support

  • Provide executive-level support to the CFO and MD of Development & Construction, including calendar management, travel coordination, expense reporting, and general correspondence.
  • Prepare and proofread internal documents, presentations, and reports.
  • Assist with planning and coordination of internal meetings and corporate events.
  • Perform various administrative duties on behalf of the management team.

Office Management

  • Oversee daily office operations, ensuring functionality of office systems and vendor services (e.g., supplies, repairs, maintenance).
  • Manage procurement of office supplies, snacks, and equipment; handle larger purchases as needed.
  • Coordinate facility projects including office expansions and organizational initiatives.
  • Serve as liaison with building management and third-party service providers.
  • Assist with compliance-related tasks such as local taxes and inspections.

Reception and Front Desk Operations

  • Welcome and direct visitors, clients, and vendors with professionalism and hospitality.
  • Answer and route incoming calls; manage voicemails, and inquiries efficiently.
  • Schedule and support in-office meetings, including setup, hospitality, and clean-up.
  • Handle all incoming/outgoing mail, deliveries, and document distribution.
  • Maintain digital and physical filing systems and coordinate with internal departments for administrative support.

Requirements

Qualifications

  • Minimum of 2 years of relevant experience in office administration, executive assistance, or front desk operations.
  • Fluent in both English and Spanish, with excellent verbal and written communication skills in both languages.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities.
  • Strong interpersonal and communication abilities, both written and verbal.
  • High level of discretion and professionalism in handling sensitive information.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); adaptable to new systems and tools.
  • Proactive, detail-oriented, and dependable team player.
