Job Description

As our Office Admin, you will serve as a friendly face and voice of the firm, maintaining a positive environment. Responsibilities include facilitating contact and communication between clients, visitors, staff, and performing administrative duties such as greeting, assisting, directing guests, answering phones, scanning and filing documents, scheduling appointments, client invoicing, and other clerical tasks. This full-time, in-person position is ideal for someone passionate about customer service, comfortable with technology, and eager to work collaboratively. The ideal candidate has experience supporting administrative functions in a fast-paced professional setting.

Responsibilities
  1. Greeting clients and visitors professionally and directing them appropriately.
  2. Answering and directing incoming calls.
  3. Managing mail, packages, and courier deliveries.
  4. Creating, scanning, organizing documents, and managing emails.
  5. Scheduling appointments and managing calendars.
  6. Filing and maintaining records.
  7. Maintaining a neat reception area.
  8. Performing additional administrative duties as assigned.
Requirements
  • At least 2 years of office, clerical, or administrative experience, preferably in a professional services firm.
  • High School Diploma or equivalent.
  • Tech-savvy with proficiency in Microsoft Office and comfortable with office technology.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong time management and multitasking abilities.
  • Attention to detail and organizational skills.
  • Ability to work independently and in a team with a positive attitude.
  • Bilingual skills are a plus.
