Job summary

Exodus Aerospace Inc. is seeking an Office Administrator DC2 to manage front-office activities and provide administrative support across departments. This role acts as a hub for internal coordination, document management, vendor communication, and executive support.

Key duties include scheduling, meeting coordination, travel arrangements, and maintaining confidential files, with a strong emphasis on accuracy, professionalism, and timely delivery.

Qualifications

  • High school diploma required.
  • Bachelor’s degree preferred (Cinematic Arts / Marketing).
  • Excellent Microsoft Office skills and QuickBooks knowledge.
  • Strong written and verbal English communication.
  • Ability to coordinate multiple departments and vendors.

Responsibilities

  • Order and manage office supplies as needed; maintain inventory.
  • Coordinate and schedule meetings; oversee distribution of notices and correspondence.
  • Safeguard confidential executive files and records.
  • Organize and support required meetings for various departments.
  • Coordinate company travel arrangements.
  • Coordinate with vendors and IT on equipment repairs and purchases.
  • Provide administrative support, scheduling, client communication, and office organization.
  • Assist with event coordination and internal announcements.
  • Manage client communication and multiple concurrent projects while maintaining deadlines.
  • Support social media and branding coordination as directed.
  • Effectively assist the Office Manager and President of the Company in day-to-day operations.
  • Other responsibilities as assigned.

Description: The Office Administrator DC2 is responsible for the front office and providing administrative support across departments as needed. This role serves as an operational hub for internal coordination, document management, vendor communication, and executive support.

Fundamental Requirements:
  • Effective written and verbal communication — read, write, and speak English fluently
  • Meticulous attention to detail
  • Must be a US Citizen or legal permanent resident
  • Regular attendance at the worksite
  • Excellent Microsoft Office skills
  • Knowledge Of QuickBooks, AR/AP
  • Capable of recognizing and solving typical problems that can occur in one's own work area; ability to evaluate and select solutions from established options
  • Ability to establish and maintain effective working relationships with all levels of corporate staff
  • Strong work character: honesty, punctuality, and integrity
  • Detail oriented
  • Maintain a clean, safe, and healthy work area

  • Proficiency in MS Office Suite and Google Workspace
Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

  • Working knowledge of QuickBooks for AR/AP support
  • Scheduling and calendar management across multiple stakeholders
  • Organization and file management — both physical and digital
  • Billing and data entry
  • Familiarity with social media management and digital marketing tools preferred
  • Video editing or digital content creation a plus
