Job description

Maximus is seeking an Office Administrator to assist the department by performing a variety of entry-level clerical duties that require general knowledge and the application of various work methods and procedures.

This is a hybrid position. The candidate will travel to the Rancho Cordova office and be on-site during regular office hours at least 2-3 days a week.

Essential Duties and Responsibilities:
  1. Answer general inbound calls and make outbound calls to increase business, customer satisfaction, and retention.
  2. Follow basic procedures and scripts, utilizing fundamental knowledge of company and project directories, services, and products to assist customers and clients.
  3. Type or generate letters and other documents as needed.
  4. Assist in maintaining office records and filing systems.
  5. Retrieve, log, and route correspondence (faxes, emails, letters, etc.).
  6. Prepare outgoing shipments and log incoming ones.
  7. Ensure document control of mail and project correspondence.
Job-Specific Minimum Requirements:
  • High School diploma or equivalent with 4+ years of experience, or an Associate degree with 2+ years of experience.
  • Additional training or education in the area of specialization is a plus.
  • Handle moderately difficult assignments requiring judgment and understanding of implications, with the ability to research and resolve most non-routine issues independently.
  • Communicate effectively on complex or sensitive issues, drafting responses for supervisors or team leads as needed.
  • Perform a variety of administrative tasks including calendar management, meeting logistics, travel arrangements, and preparing check requests, expense reports, and vendor invoices.
  • Take notes and minutes of meetings, follow up on action items to completion.
  • Act as a receptionist and maintain office records and correspondence.
  • Must be able to travel to the Rancho Cordova office and be present during regular hours at least 2-3 days a week.
