Position Summary

The Office Admin & Support role keeps MOZZ Management Group's day-to-day operations running smoothly and professionally. This position provides direct administrative support to the leadership team, owns the organization's internal systems and project-tracking tools, and serves as the go-to resource for scheduling, correspondence, meeting coordination, and cross-team communication. Working closely with Location Managers, the Regional Manager, and other members of the leadership team, this person ensures that information flows clearly across the organization and that nothing falls through the cracks. The ideal candidate is highly organized, discreet, proactive, and comfortable managing multiple priorities in a fast-paced, multi-location environment.

Essential Duties and Responsibilities
Administrative Support
  • Manage day-to-day administrative tasks for the leadership team, including scheduling, correspondence, travel arrangements, and errands
  • Maintain and organize backend systems including digital filing, document management, and operational records
  • Draft, proofread, and distribute internal communications, memos, and correspondence on behalf of leadership
  • Coordinate travel logistics, expense reporting, and reimbursement submissions as needed
  • Serve as the administrative point of contact for vendors, partners, and external parties
  • Support onboarding logistics for new hires, including paperwork, equipment coordination, and account setup
  • Assist with special projects and initiatives as assigned by the President
Meetings & Project Management
  • Schedule and facilitate company meetings; prepare agendas, take structured notes, and distribute action items with owners and deadlines
  • Follow up on outstanding action items across the leadership team to ensure accountability and forward progress
  • Own and maintain project tracking across the organization using Asana; ensure projects are current, assigned, and moving forward
  • Manage internal communication workflows and channel organization in Slack
  • Identify inefficiencies in administrative or operational workflows and propose improvements
Business & Office Operations
  • Maintain backend system information (e.g. Yelp, Google Business, Apple Business, etc.), ensuring accuracy and consistency across the organization
  • Update online menu and ensure accuracy using Toast
  • Manage office supplies, equipment, and vendor accounts to ensure the office runs efficiently
  • Serve as a first-line resource for team members needing help navigating internal tools and processes
  • Maintain organizational records related to HR administration, including employee files and basic data entry in BambooHR
  • Run company errands and handle other logistical tasks as directed
Cross-Functional Collaboration
  • Provide administrative updates between leadership and the broader team, ensuring clarity, follow-through, and alignment
  • Partner with Location Managers and the Regional Manager to coordinate scheduling, documentation, and administrative needs across store locations
Minimum Qualifications (Knowledge, Skills, and Abilities)
Required
  • 2+ years of experience in an administrative, office management, or support role
  • Demonstrated ability to manage multiple priorities simultaneously without dropping details
  • Strong written and verbal communication skills, with excellent attention to detail
  • Proficiency with, or ability to learn, office and business communication tools and platforms. These include, but are not limited to Asana, Slack, Google Workspace, Toast, Yelp, etc.
  • High degree of personal organization and self-direction; able to manage workload with minimal supervision
  • Ability to exercise discretion and maintain confidentiality regarding sensitive company and personnel information
  • Professional, warm, and brand-aligned demeanor in all interactions
  • Valid driver's license and reliable transportation for errands as needed
Preferred
  • Experience supporting an executive or senior leadership team in an administrative capacity
  • Familiarity with BambooHR, Toast POS, and Sling
  • Background in a restaurant, hospitality, or multi-location restaurant environment
  • Experience with basic bookkeeping, expense tracking, or HR administrative processes
Physical Demands and Work Environment
  • Primarily an office-based role requiring extended periods of sitting and computer use
  • Ability to occasionally lift and carry up to 25 lbs (office supplies, deliveries, event materials)
  • Ability to travel locally between the office and store locations as needed for meetings or errands
  • Occasional flexibility outside standard business hours to support leadership scheduling needs
