Qualifications

  • Five years administrative support experience in the transportation, building maintenance, Real Estate or construction industry.
  • High school diploma required to communicate effectively, to perform complex mathematical calculations, and understand various building maintenance concepts. Bachelor degree preferred.
  • Strong communication skills including effective written and verbal skills.
  • Ability to be highly organized and to manage time effectively.
  • Proficient skills in Microsoft Office including Excel, Word, PowerPoint, and Outlook. Skill in building maintenance and construction specific software applications is preferred.
  • Ability to solve complex problems and apply critical thinking to complex issues
  • Must be able to handle confidential issues
  • Must be flexible and adaptive to change
  • Must be able to handle customer (internal and external) issues in a professional, upbeat, and calm manner
  • Ability to work individually and as part of a team
  • Ability to establish and maintain effective relationships with all levels of internal and external customers
  • Ability to view problems as challenges to be positively addressed and solved

Responsibilities

  • Assistant department director with all phases of the construction process, assist in architectural document management, create and maintain project ledger/tracking project costs, process permits, schedule events, manage utilities, select and order furniture, etc
  • Plan and schedule meetings and appointments including travel arrangements
  • Draft and edit correspondence, reports, and presentations.
  • Accounting and financial reporting including but not limited to data reporting on all utility costs across all terminals, and contract management, check request documentation
  • Partial management of strip self-storage facility including but not limited to lease maintenance, rental sales, collections and payment processing, tax reporting, bank reconciliation
  • Building maintenance office administration
  • Maintain electronic file system for all essential property information, real estate portal updates and back-up file system.
  • Ability to react to change productively and handle other essential tasks as assigned
  • Research and reporting on department initiatives including but not limited to technology research, sustainability research and reporting, report on company green initiatives, analysis of departmental innovations.
  • Support various levels of department employees with issues including invoice processing, HR functions, and payroll support.
  • Invoice coding and approval within company software.

Purpose

To assist the director of the department in all areas of office administration. To support all department employees in the areas of human resources, payroll, and accounting. To assist in the research and reporting of all department projects. To oversee the Strip Self Storage rental property.
