Qualifications

  • High school diploma or equivalent required.
  • Associate degree preferred in healthcare administration or related field.
  • 1–3 years in a medical/occupational health setting or healthcare customer service role required.
  • Experience with insurance authorization, referrals, scheduling, and medical documentation preferred.

Description

The Occupational Health Coordinator serves as the first point of contact for team members, visitors, and business partners utilizing the onsite Occupational Health Clinic. This position is responsible for front desk operations, appointment scheduling, patient registration, workers' compensation coordination, referral management, billing support, and administrative functions that ensure efficient clinic operations. The Occupational Health Coordinator works closely with providers, nursing staff, Human Resources, Environmental Health & Safety, insurance carriers, and external vendors to deliver an exceptional team member experience while maintaining regulatory compliance and accurate documentation.

Key Responsibilities
Front Desk & Patient Services
  • Welcome and assist team members, visitors, vendors, and guests in a professional and courteous manner.
  • Answer incoming calls, respond to routine inquiries, route calls appropriately, and assist with clinical message coordination.
  • Schedule appointments and enter appointment information into electronic scheduling systems.
  • Conduct appointment reminder calls and assist with rescheduling as needed.
  • Register team members by verifying demographic, employment, and insurance information and updating records as necessary.
  • Maintain orderly patient records, documentation, and electronic files.
  • Assist team members with electronic forms and paperwork as needed.
  • Maintain a clean, organized, and professional reception area
Workers' Compensation Coordination
  • Support workers' compensation case administration and communication processes.
  • Receive and process injury-related documentation, referrals, and correspondence.
  • Coordinate imaging, specialist referrals, therapy appointments, and additional services as directed by clinical staff.
  • Communicate with employers, insurance carriers, adjusters, vendors, and healthcare providers regarding scheduling, documentation, and billing needs.
  • Process urgent care referrals and assist with follow-up activities.
  • Address unattached case communications and ensure appropriate routing to clinical staff.
  • Serve as a resource for workers' compensation administrative processes and documentation.
Administrative & Operational Support
  • Monitor incoming faxes, emails, and clinic communications and distribute appropriately.
  • Prepare documentation and billing information for processing and ensure required information is complete and accurate.
  • Verify services are entered correctly for billing and reporting purposes.
  • Assist with invoice tracking and payment follow-up as directed.
  • Monitor clinic worklists, no-show reports, and follow-up tasks to support operational efficiency.
  • Maintain clinic supplies, forms, and office materials.
  • Support reporting, data collection, and quality improvement initiatives.
  • Maintain confidentiality of all team member health information in accordance with HIPAA and organizational policies.
Requirements
Education and Experience
  • High school diploma or equivalent required.
  • Associate degree in healthcare administration, business, medical office administration, or related field preferred.
  • 1-3 years experience in a medical office, occupational health clinic, workers' compensation, medical scheduling, or healthcare customer service role required.
  • 1-3 years experience with insurance authorization, referrals, scheduling, and medical documentation.
Knowledge, Skills, And Abilities
  • Exceptional customer service and communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Ability to maintain confidentiality and discretion with sensitive information.
  • Proficiency with electronic medical records, scheduling systems, and Microsoft Office applications.
  • Knowledge of workers' compensation processes preferred.

  • Ability to work independently while collaborating effectively with clinical and operational teams.
