Job summary

Big Spaceship in New York is seeking a NY-based Program Director to lead the delivery, operations, and financial management of a large-scale, fast-moving client account. You will oversee multiple pods while staying connected to day-to-day activity and develop scalable operating systems.

The role requires a true systems thinker with strong budgeting, SOWs, staffing plans, and revenue tracking. You will drive AI-enabled workflows to improve efficiency while maintaining quality, manage burn rates,

Qualifications

10+ years of experience within a creative agency environment in Program Management or related leadership.
Hands-on experience scoping work, writing SOWs, creating estimates, and building staffing plans.
Strong commercial and financial acumen with experience managing multi-million-dollar engagements.
Experience overseeing high-volume social/content accounts with rapid timelines.
Excellent Excel and Google Sheets skills.
Ability to operate at both strategic and detailed levels; systems thinker.
NY-based experience is a plus.

Responsibilities

Oversee program management across a large, multi-pod account, creating connectivity and operational excellence across all workstreams.
Lead senior-level program management while staying closely connected to day-to-day activity, deliverables, risks, and priorities.
Design, implement, and optimize large-scale operating systems, workflows, processes, and ways of working across the account.
Identify opportunities to incorporate AI into agency workflows to work smarter and faster while maintaining quality.
Manage a high-volume, fast-paced social and content ecosystem with fluctuating priorities.
Collaborate across disciplines to create effective workflows based on scope and deliverables.
Maintain understanding of client business needs, priorities, content requirements, and program objectives.
Own the development of large-scale scopes of work and SOWs, from draft to approval.
Develop staffing plans and resource models based on scope and financial targets.
Coach and mentor PMs in developing smaller scopes, estimates, staffing plans, timelines, and budgets.
Build program plans with internal resources and external capabilities.
Own and manage the financial health of the program including budgets, revenue, invoices, burn rates, and forecasting.
Create program-level financial models to inform decisions and scenarios.
Monitor financial performance and mitigate risks across pods and workstreams.
Flag SOW and financial implications when milestones are at risk.
Ensure sold work is staffed and delivered to agreed scope and timeline.
Lead estimates and approvals from clients and teams; coordinate with vendors.
Partner with Production and Finance on POs, invoices, and revenue tracking.
Forecast resource needs and ensure talent availability to meet objectives.
Identify when contractors are needed and support onboarding.
Oversee project teams to deliver on time, budget, and quality.
Establish systems for documentation, status reporting, timelines, dependencies, and risk management.
Create visibility across pods for leadership to understand progress and capacity.
Build relationships with discipline leads and act as an operational partner across the account.
Evolve agency processes and adapt workflows for a fast-moving account.
Use data to identify inefficiencies and drive improvements.
Anticipate obstacles and develop proactive solutions.
Think several steps ahead and manage multi-year engagements.
Mentor PM talent and set clear standards across the team.
Operate effectively in a fast-paced, high-volume environment.
Work independently and collaboratively across a large integrated team.
