Job summary

Bridgeport Healthcare Center (WV), a member of the CommuniCare family, is seeking a Nursing Staff Scheduler / Central Supply Coordinator. This full-time role is Monday–Friday and CNA preferred, with responsibilities spanning staffing, inventory, and vendor management to ensure smooth operations.

The ideal candidate will be detail‑oriented, tech‑savvy, and capable of coordinating with nursing leadership to maintain accurate schedules and supplies while adhering to budget and billing processes.

Qualifications

• High School diploma or GED required.
• At least 1 year experience in healthcare scheduling or supply coordination.
• Strong attention to detail and organizational skills.
• Proficient with computers and basic office software.

Responsibilities

• Create or follow the master nursing staff schedule.
• Coordinate with DON and ADON to keep schedule accurate.
• Prepare daily staffing sheets with revisions as needed.
• Administer attendance and PTO for nursing staff.
• Conduct weekly inventory to maintain par levels.
• Create and purchase supplies to maintain inventory.
• Deal directly with vendors and process correspondences.
• Follow prescribed budget and billing statements for resident care.
• Fill requisitions with proper information and file per policy.
• Scan product codes, maintain accurate inventory, and deliver supplies.
• Organize storage and delivery of supplies per procedures.
• Charge departments accurately for supplies received.
• Notify departments when special orders arrive.

Monday- Friday, Full Time Position Available.

PURPOSE/BELIEF STATEMENT

The Nursing Staff Scheduler / Central Supply Coordinator position maintains quality staffing efficiencies and par levels of nursing supplies.The qualified candidate for the Nursing Staff Scheduler / Central Supplies Coordinator must be organized and detail oriented. Experience in the field is required.

JOB DUTIES/RESPONSIBILITIES

• Creates (or follows) the master staffing schedule created by the DON or designee.
• Communicates continuously with DON and ADON to ensure coordination of information and maintain accuracy of nursing schedule.
• Prepares daily staffing sheets with continual revisions as necessary.
• Performs attendance and paid time off administration for nursing staff.
• Conduct routine inventory on a weekly basis to ensure par levels
• Create a list of supplies needed and purchase materials to maintain an adequate inventory
• Deal directly with all vendors
• Prepare correspondences and claims concerning damaged merchandise, errors in shipment, etc., and return to vendor as required
• Follow prescribed budget
• Create and submit to the Business Office a complete billing statement for resident billing
• Fill requisitions, as approved, and file in accordance with established policies and procedures
• Only fill orders that are accompanied by a requisition that has all the necessary information, unless it is a life threatening situation
• Properly scan product codes to fill orders and maintain an accurate inventory in an efficient manner
• Deliver emergency supplies and equipment as directed
• Organize storage, issue and delivery of supplies and equipment in accordance with established policies and procedures
• Ensure various departments/residents are properly charged with supplies they have received for cost allocation purposes
• Notify appropriate department when special orders have arrived

QUALIFICATIONS

• Must be a High School graduate or GED equivalent
• Must have at least 1 year experience in the field
• Must be detail-oriented with great organizational skills
• Must have good computer skills
