Qualifications

• Bachelor's Degree or equivalent; 4+ years preferred.
• Minimum 4 years related experience.
• Advanced knowledge of project management plan development and administration.
• Excellent communication with all staff and customers.
• Strong problem identification and root cause analysis.
• Ability to collect, interpret, and present data for decisions.

Responsibilities

• Assist project leadership for major commercial design, construction, expansion, renovation or component replacement projects.
• Coordinate plans, schedules, and materials to meet objectives.
• Develop project assignments, timetables and responsibilities.
• Coordinate activities including personnel, materials and equipment.
• Forecast needed skills to meet project objectives.
• Facilitate exchanges and communication with suppliers throughout the project lifecycle.
• Launch purchase requests and support the ordering process.
• Prepare kickoff presentations and meeting minutes.
• Track deliverables using a tracker and update progress.
• Interface with suppliers to ensure timely delivery of docs and materials.
• Report delays, discrepancies, or risks to the Project Manager.
• Classify incoming supplier documents and perform conformity checks.
• Notify stakeholders when new documents arrive and follow up.
• Maintain up-to-date deliverable tracking and alert on config discrepancies.
• Organize and maintain group shared drives and project docs.
• Upload documents into REDS and start workflows for signatures.
• Support team cohesion and organize events when needed.
• Follow Start-Up Council processes and other admin steps.
• Coordinate delivery of materials, track shipments, and storage.
• Assist onboarding of new team members with access and setup.
• Organize appointment notifications for external visitors.
