Job summary

Rothman Orthopaedics in New Jersey is seeking a Non-Surgical Clinical Assistant to support physicians with daily administrative and clinical tasks. The role involves greeting patients, preparing exam rooms, handling pre-certifications, managing charts, and coordinating appointments to ensure smooth workflows.

You will maintain infection control, assist with injections, manage paperwork, and support deadlines while upholding OSHA and HIPAA standards.

Qualifications

  • High school diploma or GED minimum education requirement.
  • CCMA, CRMA, EMT, or ATC professional certification active and valid.
  • Knowledge of medical office procedures and medical terminology.
  • Experience with EMR systems preferred.

Responsibilities

  • Greet patients and escort to exam rooms; direct to surgery scheduling or front desk for checkout.
  • Maintain exam room cleanliness, prepare for patient entry, and handle instrument processing.
  • Record vitals and prepare injections as requested by physician.
  • Assist with chart preparation, pre-certifications and order entries; manage paperwork.
  • Scans and routes patient records, orders, and physician notes to appropriate charts.
  • Answer phones, provide voicemail coverage, and manage appointment tracking.
  • Follow OSHA regulations for biohazard waste and sharps disposal.
  • Support various office areas as needed and participate in meetings.

Job Summary:The Non-Surgical Clinical Assistant provides assistance to the Physician and Physician's Assistant with daily administrative and clinical duties.Key Accountabilities:Increase patient satisfaction, compliance with schedule prep, voicemail, accurate end of day batching, compliance with time stamping, compliance with clinical policies and procedures, wait times, timeliness and accuracy with pre certs and authorizationsEssential Duties:Greets patients in the waiting room and escorts them to the exam room. Directs patient to surgery scheduling and/or front desk for checkout.Maintains order, cleanliness, and inventory in the exam room, and prepares exam room for patients to enter.Cleans and autoclaves instruments.Provides and scans proper paperwork to the chart for Physician's review.Records vitals as per Physician's request.Prepares injections for the Physician.Pulls up x-rays, MRI's, CT's, and various studies pertaining to the patient's exam.Assists patient with clothing when necessary.Disposes of bio hazardous waste and sharps according to OSHA regulation, and replaces sharps containers when existing containers are full.Answers telephones in patient areas and provides voicemail coverage for Physician.Requests reports for various facilities for Physicians.Empties and restocks laundry.Scans appointment tracking to identify when patients are ready to be seen by the Physician and directs Physician in patient appointment order.Reviews Physician schedules for chart preparation including ensuring operative reports, dictations, and studies are present in the chart.Completes pre-certifications for MRI's and other Physician orders as necessary.Send Visco Injection authorization request to supplement pre-certification representativeScans information into patient record (including all Physician orders, prescriptions, etc. on the date of service).Covers other areas in the office when not assigned to a Physician.Covers Provider jellybeans and voicemail as needed/requestedAttends required meetings and participates on committees as requested.Knowledge of fax logsExemplifies the desired culture and philosophies of the organization.Responsible for the development, and quarterly update, of physician protocols for: office hours, medication draws, patient education, voice mail/jelly beans and clinical protocols. This must be housed on the RO Intranet.Reads and responds to email communications within appropriate time frame.Identifies weekly schedule, including schedule changes, published by manager.Handle specimens (including urine, blood and drainage from incisions, aspirated fluids, etc.) and label accordingly. Follow order instructions of provider to ensure specimen is sent to appropriate lab for analyzation.Qualifications:High school diploma or GED minimum education requirementMust be a CCMA, CRMA, EMT, or ATCProfessional license/certification must be active and validKnowledge of medical office procedures and medical terminologyComputer skills including, but not limited to, MS Office SuiteExperience with EMR system(s) preferredOffice Hours:Monday - Friday: 7:30am - 4:30pmTotal Hours per Week:40Status:PermanentPay Range:Medical Assistant (CCMA/CRMA): $18.00/hr - $24.00/hrEmergency Medical Technician (EMT-A/EMT-B): $18.00/hr - $24.00/hrAthletic Trainer (ATC): $23.00/hr - $30.00/hrOur Commitment to Employees:Come work at Rothman Orthopaedics!
