As a New Development Associate, you will be responsible for assisting with the daily management of a luxury portfolio of condominiums.
Your Responsibilities:
- Assist in the coordination of all pre-opening activities, including inspections, permits, and final construction tasks.
- Support the setup of essential building systems, including utilities, security, IT infrastructure, and maintenance services.
- Organize and oversee pre-opening meetings, Residents manuals, and the onboarding process for building staff.
- Act as liaison between the Board / Residents and the Company.
- Maintain knowledge of the property and track changes.
- Write, prepare, and distribute memos, notices, and other correspondence regarding building updates or property information.
- Ensure accuracy of building and tenant files and documents for proper record-keeping.
- Assist in building inspections to guarantee proper maintenance and address emergencies.
- Maintain Board meeting minutes, ensuring they are produced accurately and timely.
- Manage property arrears, including tracking, sending notices, and reviewing reports with the property manager.
- Respond promptly to phone calls, messages, and emails, within hours and never exceeding 24 hours.
- Check the Company’s 24/7 Customer Care Call Center log daily for issues and inquiries.
- Upload property documents to in-house databases and keep task lists current.
- Coordinate potential buyer interviews with the Board and follow up on outcomes.
- Distribute monthly financial reports to the Director of Boards.
- Handle administrative duties for annual meetings, including notices and proxies, and attend the meetings.
- Provide questionnaires and insurance certificates for the building.
- Process screening paperwork and coordinate drug tests for prospective employees.
- Use good judgment in charging appropriate fees where applicable.
- Work with the property manager on processing apartment alteration packages and charge/credit forms.
- Assist in vendor selection for capital projects and ensure proper insurance coverage.
- Promote ancillary services such as construction management, energy, sales, and mortgage brokerage.
- Maintain compliance with Best Practices, especially FSRconnect.
- Interface with internal departments like financial management, leasing, insurance, and project management.
- Complete special projects as assigned.
Skills & Qualifications:
- Bachelor's degree required.
- Bilingual in Mandarin highly preferred.
- At least 2 years experience in NYC residential condominium and cooperative property management.
- Excellent verbal and written communication skills and customer service experience.
- High energy, able to multitask under pressure, and adaptable.
- Organized, consistent, and flexible.
- Proven leadership and teamwork skills.
- Proficiency in Microsoft Office and Windows.
- Experience with Yardi Voyager, AvidXchange, Nexus, BuildingLink, ClickPay is a plus.
