The Town of Addison seeks a capable administrative professional to support Neighborhood Services. Under the Assistant Director, you will improve department processes, assist with permit workflows in Energov and PetPoint, manage records, and respond to residents and businesses with tact.

This exempt role involves coordinating outreach with Marketing, building partnerships, presenting at community events, and supporting grant programs and rental registrations.

Qualifications

  • Bachelor’s Degree in Public Administration, Business Management, Urban Planning, or related field; Master’s preferred.
  • 1–3 years of related internship/part-time/full-time experience preferred; OR
  • An equivalent combination of education, training, and experience.

Responsibilities

  • Develop business process improvements for department programs with division managers.
  • Assist in developing workflows in Energov and PetPoint for case management.
  • Support records management and responses to open records requests.
  • Gather data, conduct research, perform detailed analyses, and prepare documents.
  • Respond to information requests from residents, businesses, and stakeholders.
  • Coordinate with Marketing and Communications to create outreach materials and collateral.
  • Establish relationships with community stakeholders to raise awareness and engagement.
  • Present at community meetings, fairs, and events when appropriate.
  • Assist with Rental and Lodging Registration and Inspection program administration.

Job description

Under general direction of the Assistant Director of Neighborhood Services, this position will provide general technical, administrative, and managerial support for department programs, including Code Compliance, Environmental Health and Animal Services, with a focus on administering and improving department business processes and community outreach and engagement efforts. The employee will have regular contact with the public while facilitating and promoting outreach and engagement activities which will require the use of considerable tact and judgment.

  • Collaborate with division managers to develop business process improvements for their respective programs. Will assist in developing workflows in permit management software, such as Energov and PetPoint, to assist the respective teams with case management and data entry.
  • Assists with records management and department responses to open records requests.
  • Responsible for completing ad hoc assignments as directed by the Director or Assistant Director that may require data gathering, research, detailed analysis, and document preparation.
  • Responds to requests for information or inquiries from residents, businesses and other stakeholders.
  • Must have the ability to assist in addressing problems experienced by the business community; addressing citizen complaints and other issues and will attempt to intercede in order to achieve resolution and avoid any further escalation.
  • Coordinates with the Town’s Marketing and Communications Team to develop print materials, web content and other collateral marketing material for community outreach and for the promotion of the Town’s programs.
  • Establishes and maintains relationships and partnerships with community stakeholders in order to increase awareness of departmental programs and increase utilization.
  • Attends and presents, when appropriate, at community/neighborhood meetings, community fairs, and other events.
  • Assists in the promotion and administration of the Neighborhood Vitality Grant program by increasing outreach and awareness, reviewing applications, drafting award letters and monitoring projects through their completion and subsequent reimbursement.
  • Assist with the administration of the Rental and Lodging Registration and Inspection Program by providing administrative support for field officers, reviewing applications, ensuring invoicing and payment, and responding to inquiries from applicants.
  • Attends conferences, seminars, and workshops as required.
  • May be asked to perform additional job duties that are directly, indirectly or completely unrelated to normal job functions in the course of providing assistance to certain Town special events.
  • Performs related duties as required or assigned.
Education and Experience
  • Bachelor’s Degree in Public Administration, Business Management, Urban Planning, or related field. Master’s Degree preferred; AND
  • One (1) to three (3) years of related experience in an internship, part-time, or full-time capacity is preferred; OR
  • An equivalent combination of education, training, and experience.
Conditions of Employment
  • Safe driving record and valid Texas Driver’s License.

PHYSICAL AND WORK ENVIRONMENT

Work is performed in a standard office environment. Work is generally performed indoors in an air-conditioned facility but may also include limited exposure to outside weather conditions.

This is an exempt position; incumbent will be expected to work whatever hours are necessary to complete responsibilities.
