Are you organized, personable, and passionate about music education? Do you enjoy working with people, coordinating multiple priorities, and helping a team succeed? The International School of Music (ISM) is looking for a motivated and dependable Program Coordinator to join our team and help support our growing music school community.

Established in 2004, ISM provides high-quality music instruction to students of all ages and abilities throughout the greater Washington, DC metropolitan area. Our programs bring together students, families, and talented music educators to create meaningful musical experiences and inspire a lifelong love of music.

This is more than a general administrative position. As a Program Coordinator, you will play an important role in the daily operations of our school, building relationships with families and instructors, coordinating schedules and registrations, supporting student performances, and ensuring that our programs run smoothly.

We are seeking someone who takes initiative, enjoys solving problems, follows through on commitments, and takes pride in delivering outstanding service. For the right candidate, this position offers an opportunity to develop valuable skills in music program administration, operations, and leadership, with the potential to assume greater responsibilities over time.

What You'll Do

Program Coordination & Scheduling: Coordinate instructor schedules, student registrations, lesson assignments, and student-teacher placements to ensure smooth daily operations.

Customer Service & Family Relations: Serve as a welcoming and knowledgeable point of contact for students, parents, instructors, and prospective families by phone, email, and in person.

Administrative & Database Management: Maintain accurate student and instructor records, process registrations and attendance, perform data entry, and generate reports using our web-based systems.

Faculty Support & Communication: Help coordinate communication and scheduling with instructors, resolve routine scheduling challenges, and keep administrative processes organized and up to date.

Recitals, Events & Program Growth: Recitals & Special Events: Assist with planning and coordinating student recitals, performances, and other school events that celebrate student achievement and foster community.

Required Qualifications

We are looking for a candidate who combines strong administrative abilities with excellent people skills and a genuine interest in music education.

  • Education: Bachelor's degree required.
  • Music Background: Experience or a professional background in the music field, including music education, music administration, or a related area.
  • Communication: Excellent verbal and written communication skills and a warm, professional, customer-focused approach.
  • Organization: Strong organizational skills, exceptional attention to detail, and the ability to manage multiple responsibilities.
  • Dependability: Punctual, responsible, proactive, and committed to completing tasks accurately and on time.
  • The ability to prioritize multiple tasks, meet deadlines, and remain composed in a fast-paced environment.
  • Technology: Strong computer skills, including email, word processing, spreadsheets, web navigation, and database management.
  • Teamwork: A collaborative attitude, willingness to learn, openness to feedback, and commitment to continuous improvement.

Availability to work: Wed/Thu 12--9pm, Fri 12--8pm, Sat 9am--4pm, Sun 10am--6pm

Preferred Qualifications
  • Experience in music education, a music school, an arts organization, or a similar service-oriented environment.
  • Experience in administrative coordination, scheduling, customer service, program management, or office operations.
  • Familiarity with student information systems, scheduling platforms, or customer relationship management (CRM) databases.
  • Experience coordinating events, performances, or other programs involving multiple participants.
  • An interest in professional growth and the potential to assume greater leadership or management responsibilities.
ISM offers a competitive benefits package designed to support our team members.
  • Salary: $45,000–$55,000 annually depending on experience and qualifications.
  • Health Benefits: Medical, dental, and vision insurance.
Why Join the International School of Music?

At ISM, your work contributes to something meaningful: helping students of all ages develop their musical abilities and experience the lifelong benefits of music. You will be part of a collaborative team dedicated to providing excellent service, supporting music educators, and creating positive experiences for families in our community.

This position offers an excellent opportunity for a motivated professional to take ownership, contribute to the continued growth of ISM, and develop valuable skills in program coordination, operations, and leadership.
