Job summary

Academy Museum of Motion Pictures in Los Angeles is seeking a Buying Assistant to support the Buying team with administrative and operational tasks that ensure timely purchasing and merchandising activities. You will help manage purchase orders, product records, vendor communications, samples, and photo assets within Shopify and internal systems, while coordinating cross-functionally.

The role emphasizes attention to detail, organization, and the ability to manage multiple priorities in a museum

Qualifications

• Bachelor’s degree or equivalent experience required or preferred.
• 1–2 years in retail, merchandising, buying, or related admin support preferred.
• Experience with product, purchasing, inventory or e-commerce systems a plus.

Responsibilities

• Create, maintain, and update purchase orders with complete and accurate details.
• Track orders, timelines, and vendor deliverables; follow up on past-due items.
• Maintain product records including SKUs, costs, retail prices, and vendor data.
• Execute markdowns and promotions; ensure systems reflect changes.
• Own new item setup and ensure product data, pricing, imagery entered into Shopify and internal tools.
• Coordinate damaged product claims and RTV with vendors and warehouse.
• Coordinate with licensors for mockups and approvals as needed.
• Assist with product research as needed.
• Manage samples and photography workflow; maintain photo library.
