Job summary

Pinnacle Orthopaedics seeks an MRI Patient Access Representative to manage patient registration, co-pays, and document scanning into the EMR. You will provide prompt service, coordinate MRI/CT/DXA scheduling, and support the care team with effective communication.

Ideal candidates have 2+ years in medical office or customer service, solid computer skills, and the ability to multi-task while adhering to HIPAA/OSHA requirements. Evening/weekend shifts may be required.

Qualifications

  • High School Diploma or GED required.
  • 2 years of medical office or patient service experience preferred.
  • Excellent computer and interpersonal communication skills.
  • Ability to meet deadlines and multi-task in a clinic setting.
  • Knowledge of EMR systems is a plus and HIPAA/OSHA awareness.
  • Typing speed of at least 40 WPM; flexibility for evenings/Saturdays.

Responsibilities

  • Register patients, handle registrations, collections, and document scanning into the EMR.
  • Provide courteous customer service to patients and staff within 24 hours.
  • Collect patient co-pays and balances; maintain department productivity.
  • Schedule MRI, CT, and DXA procedures and follow-ups.
  • Coordinate with care team; communicate status and transfer calls as needed.
  • Handle outside facility communications via PowerShare and fax/email.
  • Assist with insurance questions, paperwork, and HIPAA compliant procedures.
  • Cross-train and cover colleagues as necessary; ensure safety practices.

Position Overview

The MRI Patient Access Representative is responsible for all aspects of the registration process, patient collections, and scanning documents into the EMR system.

The MRI Patient Access Representative is responsible for all aspects of the registration process, patient collections, and scanning documents into the EMR system.


Essential Functions


  • Provide excellent customer service to internal and external customers through prompt response and courteous communication within 24 hours of the request.

  • Effectively collecting patient co pays for their visit or collecting patient balance as needed.

  • Maintain departmental goals and productivity parameters as set forth by Director of Operations.

  • Assist patients with all possible needs, filling out paperwork, questions or concerns regarding insurance, or balances.

  • Covers co-workers and cross trains as necessary to meet the needs of the organization.

  • Utilize PowerShare system to send and accept exams from outside facilities.

  • Burn cds for patients while following appropriate HIPAA requirements in medical release requirements

  • Accept faxes and emails with outside facility reports, upload to patient chart and communicate status to patient care team.

  • Communicates effectively with all levels - patients, co-workers, supervisors and physicians, both verbally and in writing.

  • Schedule – MRI, CT and DXAs along with the appropriate follow-ups necessary

  • Interpreter

  • Call transfer kept to a minimum – help in the moment, know who to transfer to

  • Supply restocking

  • Authorization checking – 2 days in advance

  • Department safety and MRI safety training

  • Knowledge on what specialties we have and who is in what specialty

  • Assist team members as needed.

  • Other duties as assigned.


Requirements

Knowledge/Skills Abilities Required


  • High School Diploma or GED required.

  • 2 Years of medical office or customer service experience preferred.

  • Excellent computer skills.

  • Excellent interpersonal communication skills and customer service skills.

  • Ability to meet deadlines.

  • Knowledge of EMR system is a plus.

  • Type at least 40 WPM.

  • Ability to multi-task and prioritize.

  • Ability to remain calm under pressure.

  • Knowledge of HIPAA and OSHA requirements.

  • Position hours will vary. Evening and Saturday shifts may be required.
