Responsibilities

  • Mail and distribute Mortgage Servicing correspondence.
  • Provide secretarial and clerical support for office operations.
  • Call borrowers to collect proof of insurance and taxes for non-escrow loans.
  • Greet customers during closings for loan renewals, modifications, or deferrals.
  • Prepare meeting agendas and reports for Mortgage Servicing meetings.
  • Maintain telephone directory and filing systems.
  • Provide receptionist services and attend trainings as needed.
  • Maintain knowledge of applicable laws and bank policies; ensure compliance.

Overview

The Mortgage Servicing Administrative Assistant is responsible for providing administrative and clerical services in order to ensure effective and efficient administrative operations for the Mortgage Servicing department.

Responsibilities
  • Mails Mortgage Servicing correspondence to borrowers; records and distributes all incoming mail.
  • Provides secretarial and administrative support to ensure effective and efficient office operations.
  • Calls borrowers with loans on non-escrow to collect proof of insurance and taxes.
  • Greets customers who will be closing on loan renewals, loan modifications, or payment deferrals.
  • Collects information from borrowers applying in person for a Mortgage Servicing program.
  • Types agendas for meetings and prepares reports for Mortgage Servicing meetings.
  • Compiles and maintains an up-to-date telephone directory of numbers and addresses.
  • Files all correspondence and orders/keeps inventory of supplies.
  • Provides receptionist services.
  • Participates in job-specific training and other Bank training programs, as necessary.
  • Maintains current knowledge of internal risk controls, loss prevention, and reporting of suspicious or unusual customer activity per Bank policy.
  • Maintains knowledge of federal and state laws and regulations and all Bank policies and procedures, including internal audit controls related to department operations.
  • Maintains knowledge of rules, regulations, and laws as they apply to BSA/OFAC/USA Patriot Act/CIP/AML.
Qualifications
  • High school diploma or G.E.D and 6–12 months of experience in an office environment.
  • Ability to organize and prioritize work to meet deadlines.
  • Demonstrates respect, honesty, trust and diplomacy, with courtesy and tact.
  • Extensive personal contact with others and/or dealing with sensitive situations.
  • Ability to foster sound relationships with external entities as needed.
  • Ability to sit for long periods in front of a computer, which may cause eye strain.
  • Knowledge of office administration and excellent telephone etiquette.
  • Ability to maintain a high level of accuracy in entering information into systems.
  • Knowledge of loan collection laws and regulations preferred.
  • Typing at least 40 words per minute.
  • Proficiency with personal computers and Microsoft Office Software.
  • Able to develop customer relations; strong time management, communication, teamwork, problem solving, and decision-making skills.
  • Attention to detail and high accuracy; cultural awareness and sensitivity.
  • Ability to work flexible hours; demonstrate sound work ethics; equivalences will be considered.
  • Bi-lingual in English and Spanish is desired.
Organization
  • This position reports to the Mortgage Servicing Manager.
  • This position does not oversee other positions.
Training Requirements

All employees are required to attend scheduled mandatory trainings and complete online regulatory compliance training applicable to their specific job function. In all situations, employees must ensure actions fully comply with all federal banking laws and regulations, including internal bank policies and procedures. Failure to adhere to these requirements will be grounds for disciplinary action, including probation and possible termination.
