Job description

This position provides administrative support to the office. Responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency.

Duties and responsibilities

  • Coordinate office activities to ensure maximum efficiency
  • Review files from insuring and shipping that have questions or missing documentation; correct as necessary to ensure salability
  • Support sales staff of branch; regularly meet with sales managers and account executives to review relationships and quality expectations
  • Implement procedural changes to improve operational efficiency
  • Assist with team’s workload as needed in all departments
  • Handle customer inquiries and complaints
  • Receipt and distribution of all inter-office mail and correspondence, standard mail and deliveries
  • Other duties and/or mortgage related tasks as assigned by management

Skills/Knowledge

  • Understand all aspects of the operational file flow
  • Working knowledge of product guidelines to assist in working out file solutions/problems
  • Able to write correspondence and to effectively present information to employees and management
  • Able to read and interpret various loan documents such as promissory notes, regulatory and legal directives and other loan documents
  • Able to define problems, collect data, establish facts and provide information to resolve the situation
  • Able to work well under pressure, meet multiple and sometimes competing deadlines
  • Able to interpret an extensive variety of technical instructions
  • Able to apply basic math; calculate figures and amounts such as discounts, interest, commissions and percentages
  • Basic computer skills required: word processing, email, and mortgage software
  • Facilitate an excellent working relationship with internal and external customers by developing and maintaining respect, communicating effectively and providing excellent customer service
  • Maintain a high level of integrity, confidentiality and trust
  • Exercise personal initiative in organizing and completing tasks according to established product guidelines and team needs
  • Effectively problem solve by using judgment based upon knowledge of existing management policies and departmental practices and procedures
  • Meet established productivity and task management standards
  • Ensure confidentiality of client records
  • Demonstrate a commitment to the Company Culture
  • Respond to phone calls and emails within a timely manner

Education/Experience

  • High school diploma or equivalent required; advanced degree preferred

Working conditions & Physical requirements

  • Able to navigate a standard office environment
  • Able to attend meetings off-site, on occasion
  • Some business travel may be required
