Job summary

Swift Restoration, LLC dba SERVPRO is seeking an experienced Mitigation Administrative Assistant to support the mitigation team in Austin, TX. You will manage documentation, estimates, and insurer communications, leveraging Xactimate and TPA platforms to keep files compliant and on schedule.

The ideal candidate has prior restoration admin experience, strong organizational skills, and the ability to handle multiple priorities in a fast-paced environment.

Qualifications

• Previous administrative experience in restoration/mitigation or construction preferred.
• Strong organization and time-management abilities are essential.
• Excellent written and verbal communication skills.
• Ability to learn multiple software platforms and manage documentation.

Responsibilities

• Provide administrative support to Mitigation Department, PMs and estimators.
• Assist with creating, reviewing, and updating estimates and job documentation in Xactimate.
• Upload and maintain job files, photos, drying logs, invoices, and other documents.
• Work with TPA platforms and insurance carriers, including Contractor Connection and Alacrity.
• Monitor deadlines and ensure documentation is submitted on time.
• Communicate with insurance adjusters, TPAs, customers, and team members.
• Assist with job file audits for completeness and compliance.
• Track outstanding items like approvals, supplements, and invoices.
• Enter and maintain accurate job data in company systems and TPAs.
• Assist with scheduling and coordinating mitigation projects as needed.
• Support with follow-ups on approvals and pending items.
