Job summary

CI Design, Inc. in Boston, MA is seeking a Project Coordinator to support our Mission Critical sector. You will work closely with Principals and Project Managers to keep projects organized, on track, and running efficiently.

The role manages project documentation, coordinates cross-team communication, and supports day-to-day operations across all phases. Strong attention to detail and proactive problem-solving are essential.

Qualifications

• 5+ years of experience preferred in project coordination or construction administration.
• Bachelor’s Degree preferred.
• Proficiency with MS Office and project management tools (Unanet, Procore, AWS) is desired.
• Strong organizational and communication skills; ability to multitask in a fast-paced environment.

Responsibilities

• Provide administrative support for construction documentation, including logging, tracking, and distributing shop drawings, submittals, and RFIs to ensure timely responses and contract compliance.
• Maintain project documentation on platforms such as AWS and Procore with proper version control and distribution.
• Coordinate resources, schedules, meetings, and travel for project teams; prepare design meeting minutes and field reports.
• Assist with AIA contracts and consultant agreements.
• Collaborate with internal teams across offices to ensure timely delivery of project information.
• Prepare and manage permit documents, drawings, affidavits, and closeout procedures.
• Draft documents, generate reports, data entry, and CRM upkeep.
• Stamp and seal documents for permit packages; respond to emails and calls professionally.
