Job summary

Mass General Brigham is seeking a Unit Coordinator for Phillips House 22 to provide administrative support in an inpatient Gynecology Oncology and General Surgery unit. You will coordinate patient flow, admissions, discharges and transfers, and serve as liaison between patients, families, and clinicians.

The role requires strong MS Office skills, good verbal and written communication, and ability to handle confidential information.

Qualifications

  • Education: High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred.
  • Certification: Certified Health Unit Coordinator preferred.
  • Experience: Administrative support experience 1-2 years required.
  • Knowledge: Proficiency with MS Office and standard office equipment.
  • Communication: Strong verbal and written communication skills.
  • Medical terminology familiarity.

Responsibilities

  • Provide administrative support to unit-based and hospital-wide clinicians and staff.
  • Coordinate day-to-day patient flow including admissions, discharges and transfers.
  • Greet patients, families and coworkers in a professional manner.
  • Enter admissions and transfers into EMR accurately.
  • Schedule consultations, tests, procedures and patient transport.
  • Assist with payroll duties or scheduling of staff as needed.

Job Summary

Schedule: Tuesday, Wednesday and Thursday Days (7am-3:30pm, 7am-7:30pm) and Nights (7p-7:30am, 11pm-7:30am) 2x shifts or 3x shifts per week. Rotating Holiday schedule. No weekends, except for required Day shift training. Phillips 22 is seeking a medical professional to work as a Unit Coordinator, and who has availability to work on Tuesday, Wednesday and Thursday on the days and nights shift. Phillips House 22 is an 19-bed adult unit specializing in Gynecology Oncology and General Surgery. The Department of Obstetrics & Gynecology at Mass General consistently ranks among the best women's health care providers in the country, offering innovative treatments from leading experts in obstetrics, gynecology, infertility, cancer, and urogynecology. Ideal applicant should be able to work of all the weekdays indicated on the days and night shift to be considered for an interview. Applicant will not be scheduled for 16-hour shifts in this position.

Summary

Provides administrative support to unit-based and hospital-wide clinicians and staff in an inpatient unit, functioning as the liaison between the patient, visitors and the clinicians. Expected to effectively organize priorities, complete tasks on time and to manage confidential patient information. Responsible for partnering with nursing to coordinate the day-to-day patient flow including communication to key players regarding patient admissions, discharges and transfers. Also expected to provide outstanding services for every customer interaction. Actual job duties may vary by department. This position does not require Patient Care.

Essential Functions
  • Greets and interacts with patients, families, visitors and coworkers in person and via communication tools in a professional manner.
  • Receives, prioritizes, organizes and manages information at the central nursing station, and throughout the unit.
  • Schedules consultations, tests, procedures, and patient transport to other departments.
  • Enters into electronic medical record accurate and timely information about admissions, discharges and transfers to facilitate efficient patient throughput.
  • Contacts ancillary service departments to obtain equipment, services and supplies; tracks status and location; uses designated process for identifying and facilitating repairs.
  • May assist manager with payroll duties or scheduling of staff, or supervision of unit secretaries. Duties may vary by department.
Qualifications
  • Education: High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred.
  • Can this role accept experience in lieu of a degree? No.
  • Licenses and Credentials: Certified Health Unit Coordinator - National Association of Health Unit Coordinators (NAHUC) preferred.
  • Experience: Administrative support experience 1-2 years required.
  • Knowledge, Skills and Abilities: Proficiency with office procedures and equipment, i.e., filing, copying, scanning, printing, and faxing.
  • Knowledge, Skills and Abilities: Proficiency in MS Office.
