Job summary

Mass General Brigham Newton-Wellesley is seeking a dedicated Administrative Support professional for 24-hour nights, rotating weekends and holidays. The role acts as a liaison between patients, visitors and clinicians, organizing priorities and handling confidential information with care.

The position supports patient flow, coordinates admissions, discharges, and transfers, and enters data into the EMR. Onsite at 2014 Washington Street with opportunities to collaborate across departments.

Qualifications

  • High School Diploma or equivalent required; Associate's Degree preferred.
  • Administrative support experience 1–2 years required.
  • Proficiency with MS Office and medical terminology.
  • Strong communication and time-management skills.

Responsibilities

  • Perform clerical duties to assist in unit administration.
  • Greet patients and visitors professionally.
  • Receive, organize and manage information at the central nursing station.
  • Schedule consultations, tests, procedures, and patient transport.
  • Enter data into the EMR for admissions, discharges, and transfers.
  • Coordinate with ancillary departments to obtain equipment and supplies.
  • Assist manager with payroll duties and staff scheduling as needed.

Job Summary

24hr Nights, rotating weekends and holidays Summary Provides administrative support to unit-based and hospital-wide clinicians and staff, serving as the liaison between patients, visitors, and clinicians. Expected to effectively organize priorities, complete tasks on time, and manage confidential patient information. Responsible for partnering with nursing to coordinate the day-to‑day patient flow, including communication to key players regarding patient admissions, discharges, and transfers. Also expected to provide outstanding services for every customer interaction. Actual job duties may vary by department.

Essential Functions
  • Performs clerical and other duties to assist in the general administration of the floor or unit.
  • Greets and interacts with patients, families, visitors, and coworkers in person and via communication tools in a professional manner.
  • Receives, prioritizes, organizes, and manages information at the central nursing station and throughout the unit.
  • Schedules consultations, tests, procedures, and patient transport to other departments.
  • Enters accurate, timely information into the electronic medical record for admissions, discharges, and transfers to facilitate efficient patient throughput.
  • Contacts ancillary service departments to obtain equipment, services, and supplies; tracks status and location; uses the designated process to identify and facilitate repairs.
  • May assist the manager with payroll duties, staff scheduling, or supervision of unit secretaries. Duties may vary by department.
Qualifications

Education High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred

Licenses and Credentials

Certified Health Unit Coordinator - National Association of Health Unit Coordinators (NAHUC) preferred

Experience

Administrative support experience 1-2 years required

Knowledge, Skills and Abilities
  • Proficiency with office procedures and equipment, i.e., filing, copying, scanning, printing, and faxing.
  • Proficiency in MS Office.
  • Ability to proofread and edit written documents.
  • Ability to use the phone system.
  • Managing one's own time and the time of others.
  • Strong verbal & written communication skills.
  • Strong interpersonal, written, and oral skills.
  • Ability to use standard office equipment.
  • Familiarity with medical terminology.

Pay Range
