Job summary

Mass General Brigham is seeking a Unit Coordinator for Phillips House 22, a 19-bed unit focusing on Gynecology Oncology and General Surgery. You will support clinicians and staff, coordinating patient flow with nursing and handling admissions, discharges, and transfers while maintaining confidential information.

This role does not involve direct patient care. Schedule includes 24 hours weekly with rotating day and night shifts on Tue, Wed, Thu, onsite at 267 Charles Street.

Qualifications

  • High School Diploma or equivalent required; Associate's degree preferred.
  • Certified Health Unit Coordinator (NAHUC) preferred.
  • Administrative support experience 1-2 years required.
  • Proficiency with MS Office and office equipment.
  • Ability to proofread and edit documents; maintain confidential patient information.
  • Strong verbal and written communication; time management skills.
  • Familiarity with medical terminology.

Responsibilities

  • Perform clerical duties to assist in the general administration of the floor or unit.
  • Greet patients and visitors in a professional manner; communicate with staff.
  • Manage information at central nursing station and throughout the unit.
  • Schedule consultations, tests, procedures, and patient transport.
  • Enter admissions, discharges and transfers into EMR accurately.
  • Coordinate with ancillary departments for equipment, services and supplies.
  • Assist manager with payroll duties or scheduling of staff; supervise unit secretaries.

Schedule: Tuesday, Wednesday and Thursday Days (7am-3:30pm, 7am-7:30pm) and Nights (7p-7:30am, 11pm-7:30am) 2x shifts or 3x shifts per week Rotating Holiday schedule No weekends, except for required Day shift training Phillips 22 is seeking a medical professional to works as a Unit Coordinator, and who has availability to work on Tuesday, Wednesday and Thursday on the days and nights shift. Phillips House 22 is an 19-bed adult unit specializing in Gynecology Oncology and General Surgery. The Department of Obstetrics & Gynecology at Mass General consistently ranks among the best women's health care providers in the country, offering innovative treatments from leading experts in obstetrics, gynecology, infertility, cancer, and urogynecology. Ideal applicant should be able to work of all the weekdays indicated on the days and night shift to be considered for an interview. Applicant will not be scheduled for 16-hour shifts in this position.

Summary

Provides administrative support to unit-based and hospital-wide clinicians and staff in an inpatient unit, functioning as the liaison between the patient, visitors and the clinicians. Expected to effectively organize priorities, complete tasks on time and to manage confidential patient information. Responsible for partnering with nursing to coordinate the day-to-day patient flow including communication to key players regarding patient admissions, discharges and transfers. Also expected to provide outstanding services for every customer interaction. Actual job duties may vary by department. This position does not require Patient Care.

Essential Functions
  • Performs clerical and other duties to assist in the general administration of the floor or unit.
  • Greets and interacts with patients, families, visitors and coworkers in person and via communication tools in a professional manner.
  • Receives, prioritizes, organizes and manages information at the central nursing station, and throughout the unit.
  • Schedules consultations, tests, procedures, and patient transport to other departments.
  • Enter into electronic medical record accurate and timely information about admissions, discharges and transfers to facilitate efficient patient throughput.
  • Contacts ancillary service departments to obtain equipment, services and supplies; tracks status and location; uses designated process for identifying and facilitating repairs.
  • May assist manager with payroll duties or scheduling of staff, or supervision of unit secretaries.
  • Duties may vary by department.
Qualifications
  • Education High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred Can this role accept experience in lieu of a degree? No
  • Licenses and Credentials Certified Health Unit Coordinator - National Association of Health Unit Coordinators (NAHUC) preferred
  • Experience Administrative support experience 1-2 years required
  • Knowledge, Skills and Abilities - Proficiency with office procedures and equipment, i.e., filing, copying, scanning, printing, and faxing.
  • Proficiency in MS Office.
  • Ability to proofread and edit written documents.
  • Ability to use the phone system.
  • Managing one's own time and the time of others.
