Job Responsibilities:
- Supports team by developing a client base of individuals, organizations, and associations for transient and group Membership opportunities.
- Effectively utilizes a CRM (Salesforce) to support the Membership Managers in maintaining entry standards to record activity, updated information, Member types, etc.
- Maintains Member files and updates information daily in accordance with established departmental policies and procedures.
- Assists in the management of iVvy accounts, contacts and activities by ensuring account database is updated regularly, including revision of templates.
- Owns the management of the annual RFP process through Cvent, including working with the Membership Managers to ensure timely submission, meeting deadlines, updating status, and coordination of monthly update reports.
- Supports Membership team in rate loading process with CRS team to ensure accuracy and OBT visibility.
- Supports Membership team in annual rate distribution process.
- Assists the Membership Managers in the group booking process from time of signature to hotel handover.
- Collaborates with Revenue Management, Member Services and Hotel teams to execute group bookings, post signature.
- Manages and services room blocks, deposits, and billing for all contracted groups.
- Coordinates turnovers, resumes, rooming list collection, etc. to facilitate servicing of group.
- Provide effective written communication to the Hotel operations team regarding onsite groups and events.
- Ensures group payments are received prior to group arrival – coordinate with Hotel and Accounting teams for accurate invoice preparation. Works closely with accounts receivable team in securing deposits and payments.
- Ensure a high level of service throughout the sales process and through coordination with Membership & Sales, Revenue Management, Hotel Departments and customer.
- Works with Marketing team to assist Membership Managers in the preparation of special events, critical hotel tours, and presentations for potential Members.
- Process all direct mailings using iVvy/Salesforce database, including coordination with Marketing team, as necessary.
- Works with Digital Marketing team to ensure Member booking links are operable and accurate.
- Produces monthly Prospecting and new Member Utilization reports.
- Prepares Quarterly Business Reviews of existing Members for Membership Managers.
- Prepares monthly group pipeline reports.
- Assists in the tabulation of bi-annual performance goal achievement for the Membership & Sales team.
- Cultivates collaborative, mutually supportive relationships with and among customers, as well as the CQ community, Membership team and Hotel teams.
- Adheres to the Club Quarters Membership & Sales guidelines.
- Maintains complete knowledge of and complies with all departmental policies/service procedures/standards.
- Administrative duties include responding to emails, monitoring budgets, processing invoices, compiling and submitting production reports, printing and mailing of sales collateral and giveaway materials.
- Perform other duties as assigned.
Qualifications
- 2+ years of successful experience in hotel sales or operations environment
- Proficient in English language; U.S. citizen or permanent resident
- Proficient in Word, Excel (pivot tables) and PowerPoint
- Working knowledge of Salesforce, iVvy, and Opera a plus
- Working knowledge of Cvent group and transient platforms a plus
- Highly detail oriented and able to complete multiple tasks simultaneously
- Able to complete work in a timely manner with prompt responses to voice mail and e-mails
- Exhibits willingness to take on new challenges
- Able to complete tasks with minimal supervision
- Exhibits professional, positive, friendly and caring attitude towards Members and team
- Complies with company sales reporting, office, and system standards
- Works with the other departments and Hotels to ensure clear and collaborative flow of communication
