Position Overview
We are looking for a highly organized, detail-oriented, and enthusiastic Assistant Coordinator to support our team across all phases of production—from project procurement and development through production and delivery. This is an excellent opportunity for someone starting out in production and who is eager to gain hands-on experience in a fast-paced, collaborative environment. The right candidate will play an essential role in administrative support, client communication, and research. They will learn budgeting and scheduling with opportunities to attend local shoots in New York.
Requirements
Key Responsibilities
- Provide day-to-day administrative support for new and ongoing production projects
- Schedule and attend internal and client meetings; take and distribute notes; follow up on tasks and deadlines
- Assist with budgeting and cost tracking using internal software and in collaboration with our production and accounting teams
- Conduct research and development to support production planning and logistics
- Maintain well-organized digital files and production documentation
- Coordinate with clients, vendors, and production partners across various time zones and cultures
- Collaborate closely with producers and internal team members to ensure smooth project execution
- Participate in the development of original projects
- Attend and assist with local shoots and on-the-ground productions when applicable
Requirements
- Bachelor's Degree
- Based in the U.S. and available to work full-time on East Coast hours
- Excellent communication and interpersonal skills; able to work effectively with clients and collaborators from diverse cultural backgrounds
- Highly organized, detail-oriented, and dependable
- Self-starter with a proactive attitude and a team-player mindset
- Strong interest in production, budgeting, and client services
- Comfortable using and learning digital tools; proficiency with Microsoft Office (Teams, Word, Excel) and Google Workspace is required
- Experience with (or willingness to learn) platforms like Pipe Drive and Paprika (training provided)
- This is an entry level position. However, prior experience in production, client services, or a related fast paced work environment is a plus
