Job summary

The Global Ambassador Hotel in Phoenix seeks an experienced events coordinator to lead member private events from planning to execution. You will coordinate staffing, vendors, and equipment, ensuring seamless service and memorable experiences.

Qualifications

• Bachelor's degree in hospitality management, event management, or related field (or equivalent experience).
• 2+ years of experience in managing service operations, preferably in the special events industry.
• Proven experience in membership management or a related hospitality role.
• Strong communication, interpersonal, and networking skills.
• Excellent written and verbal communication with a professional tone.
• Highly organized with the ability to multitask and manage priorities.
• Proficient in event management software, POS systems, and Microsoft Office; quick to learn new tech.
• Ability to work under pressure and adapt to changing event dynamics.
• Flexibility to work evenings and weekends.

Responsibilities

• Serve as primary point of contact and coordinator for member private events.
• Develop contracts, diagrams, service plans, including staffing, equipment, supplies, and timelines.
• Liaise with vendors and suppliers to coordinate service-related logistics such as catering and AV.
• Oversee event setup and ensure seating, signage, and elements follow the event plan.
• Maintain open communication with internal partners, planners, vendors, and restaurant teams.
• Collaborate with event staff to synchronize service operations with logistics.
• Manage budgets, control costs, negotiate contracts, and optimize resources.
• Conduct post-event evaluations and implement improvements.
• Respond promptly to texts, emails, and inquiries with excellent customer service.
• Maintain membership records and logs; provide general administrative support.
