Position Summary: Reporting to the Membership Manager, this full-time position supports the day- to-day activities of the Membership program. The Membership Coordinator helps to ensure a premier membership experience by coordinating operational components of the Membership program including membership card distribution, Member Support Ticket requests, Member event registration, and responding to member inquiries.
Additionally, the position contributes toward achieving the annual membership revenue goals and key performance indicators by supporting acquisition, retention, and engagement strategies in coordination with the Membership Manager. The Membership Coordinator also provides support for the monthly membership renewal cycle. This position is onsite.
Primary Duties And Responsibilities
- Assist with all aspects of a robust Membership program.
- Manage the Monday.com portal to ensure timely responses to submitted Member Support Tickets.
- Create general and Member email lists for submission to Marketing & Communications, for Outlook mail merge, or for use within Raiser’s Edge NXT.
- Execute the distribution of the program’s membership cards including physical and digital options, for new and renewing Members and Donors and requested updates.
- Support membership revenue goals and key performance indicators through the acquisition, retention, and engagement strategies of the department in collaboration with the Membership Manager and other Garden departments.
- Facilitate a dedicated membership presence inside the Garden's physical space through staffing at the Membership Concierge kiosk.
- Assist with preparation and submission of data, print, and digital components of the monthly membership renewal cycle in collaboration with the Membership Manager.
- Accurately enter Member Event RSVPs directly into Raiser’s Edge NXT including those from ACME point of sale reports; respond to registrants with necessary follow-up details.
- Provide exceptional customer service to members and donors through phone, email, written, and in-person communication effectively resolving any member-related issues.
- Prepare member correspondence as needed, using the Garden’s standard responses templates wherever appropriate.
- Participate in assigned Raiser’s Edge NXT data clean-up projects.
- Primary monitoring and triage of the Membership email inbox.
- Coordinate the Garden’s Employee complimentary membership program.
- Fulfill Gift of Membership certificate requests; includes processing donation requests from Community Relations and other Garden departments.
- Participate in Garden-wide events, exhibitions and projects as required or needed.
- Perform other duties as assigned and required.
Requirements / Qualifications
- Associate’s degree; Bachelor’s degree preferred, or 3-5 years equivalent work experience.
- Non-profit experience preferred.
- Proficiency in Microsoft Office Suite, with emphasis on data manipulation and analysis using Excel, and mail merge operations using Word and Outlook.
- Minimum 1 year of Raiser’s Edge database data entry/management experience preferred.
- Experience with Monday.com, Cuseum, or ACME Ticketing a plus.
- High level of accuracy and attention to detail.
- Excellent verbal and written communication skills; listens and gets clarification; responds well to questions.
- Strong customer service skills. Handles difficult or emotional situations with tact; responds promptly to member needs and service requests; meets commitments.
- Professional personal presentation.
- Maintains confidentiality; listens to others without interrupting; keeps emotions under control.
- Consistent attendance and punctuality; ensures responsibilities are covered during absences.
- Follows instructions, responds to management direction; takes responsibility for own actions; keeps commitments; completes tasks on time or notifies appropriate person with an alternate plan.
- Organizational and planning skills – uses time wisely.
- Demonstrates initiative, reliability, and ability to handle multiple tasks.
