Job summary

Grey Oaks Country Club is seeking a Part-Time Member Relations Representative to serve as the go-to contact for members and guests. You will deliver warm, professional service at the front desk and coordinate reservations with care, contributing to an inviting, hospitality-focused experience in our Naples, Florida community.

The role requires weekend availability and a proactive approach to answering inquiries about amenities, events, dining, and membership services, while using our club

Qualifications

  • Front desk experience and guest services at a luxury club or hotel preferred.
  • Ability to manage reservations, inquiries, and member requests with discretion and professionalism.
  • Strong organizational skills and attention to detail in a fast-paced environment.

Responsibilities

  • Serve as the first point of contact for members and guests with a warm, professional welcome.
  • Oversee daily reception operations and maintain a calm, service-focused environment.
  • Review the daily guest roster and greet guests by name when possible.
  • Answer questions about club amenities, events, dining, wellness, golf, and membership services.
  • Assist with check-in procedures, guest passes, and general inquiries.
  • Use the club management system to enter, update, and track reservations.
  • Communicate reservation updates to appropriate departments and maintain accurate records.
  • Stay informed about club programming, schedules, and operating hours.
  • Support the Reservations & Experience Lead and assist with club-wide reservations.
  • Observe safety procedures and perform other duties as assigned by management.

The Member Relations Representative serves as a primary point of contact for members and guests, delivering exceptional service through personalized interactions, seamless communication, and efficient coordination of member requests and reservations. This highly visible role combines front desk reception responsibilities with member services and reservation support, helping create a welcoming, engaging, and service-focused experience throughout the Club.

The ideal candidate is professional, personable, detail-oriented, and passionate about creating meaningful member experiences. This position requires a flexible schedule, including weekends, with a regular workweek of Saturday through Tuesday /Wednesday.

About Grey Oaks Country Club

Considered one of the premier country clubs in Florida, Grey Oaks opened in 1993 and encompasses the Grey Oaks and Estuary communities, along with 54 holes of championship golf. The Club’s facilities include:

  • A 63,000-square-foot East Clubhouse, with décor updates planned in 2026 and beyond
  • A 12,000-square-foot golf pro shop, newly renovated in 2025
  • A Golf Performance Center including InRange technology
  • 8 Pickleball Courts with Pavillion and 10 Har Tru Tennis Courts

  • Act as a daily ambassador of Club service standards and hospitality expectations.
  • Member Reservations & Communication
  • Answer incoming calls promptly and professionally while ensuring an exceptional member experience.
  • Clearly communicate Club offerings, policies, scheduling availability, and special events.
  • Utilize Club management systems to accurately enter, update, track, and manage reservations.
  • Communicate reservation updates and member requests to appropriate departments.
  • Maintain accurate records of member interactions, reservations, and requests.
  • Remain consistently informed about Club events, programming, schedules, operating hours, and availability.
  • Proactively identify member needs or concerns and take ownership of facilitating resolution.
  • Route inquiries to the appropriate department or leader and ensure timely follow-up and closure.
  • Escalate complex or time-sensitive issues as appropriate while maintaining professionalism and confidentiality.
  • Maintain up-to-date knowledge of Club programming, services, and operating hours.
  • Communicate regularly with departments to ensure accurate and timely member information.
  • Assist with general office duties including scanning, filing, mail distribution, data entry, and administrative support.

  • Ability to maintain confidentiality and exercise sound judgment.
  • Florida Notary Public commission preferred or willingness to obtain.
  • Ability to work weekends and a schedule that includes Saturday through Tuesday/ Wednesday.
