Job summary

Paul Gough Media, a fast-paced marketing agency, seeks an Operations Ace in Celebration, FL to own mastermind logistics, client care, and event coordination. You’ll manage schedules, reminders, and action items while ensuring a seamless experience for members and coaches across US and UK programs.

You’ll support recruitment, vendor relationships, and daily admin. This role offers in-office hours, growth within the operations path, and a collaborative, high-energy environment.

Qualifications

• 2–4 yrs Admin/Operations in a fast-paced, client-facing setting.
• Proven event or program-logistics chops (meetings, coaching calls, or conferences).
• Polished phone, email & in-person communication skills.
• Eagle-eye attention to detail—nothing slips through the cracks.
• Calm multitasker & prioritizer when the heat turns up.
• Fluent in Google Workspace, Zoom, and PM tools (Monday.com, Asana, Trello); CRM savvy a plus.

Responsibilities

• Run Mastermind Logistics – Schedule group calls, reminders, track actions, keep members on point.
• Front-Line Client Care – Respond to calls, emails, and Zoom chats the same day with warmth and clarity.
• Event Coordination – Prep agendas, vendors, travel, and swag for US & UK events; be onsite to ensure a wow-factor.
• Office & Admin Support – Keep documents, supplies, and vendor relationships organized.
• Recruitment Assist – Source candidates, book interviews, help run monthly group interviews.
• Cross-Team Task Management – Drive projects in Monday.com, Google Workspace, and Zoom; meet deadlines.
