DMC Primary Care is seeking a personable Refill Specialist to join our team in Derry, NH. This full-time, on-site position supports clinical staff by reviewing refill requests and ensuring guideline compliance, with multiple submission sources and EMR updates.

The role emphasizes critical thinking, timely refills, and professional patient communication in a fast-paced, HIPAA-conscious environment. Excellent customer service is essential.

Qualifications

  • Pharmacy technician certification or medical assistant training preferred; willing to train.
  • High school diploma or GED required.
  • 2+ years in a physician's office, pharmacy, or customer service preferred.
  • Excellent interpersonal and communication skills with emphasis on customer service.
  • Ability to follow oral and written instructions; confidentiality (HIPAA).

Responsibilities

  • Review refill requests and ensure medication protocols are met.
  • Handle refills from phone line, E-prescribe, mail, patient portal, and fax.
  • Apply critical thinking and clinical knowledge to each refill per guidelines.
  • Calculate refill due dates before provider authorization.
  • Authorize refills per provider guidance and relay to pharmacy by phone/fax.
  • Update EMR with medication refill information.
  • Manage refills promptly within designated timeframes.

DMC Primary Care, a physician-owned, independent practice, with offices throughout southern New Hampshire, has been providing comprehensive care for entire families since 1964.We help each patient achieve the best possible health through every stage of life. We do this by providing an accessible, innovative healthcare experience that is built around our patient's needs.
We are seeking a personable, motivated and professional Refill specialist to join our multi-disciplinary healthcare team. This is a full time position in Derry, NH.Please note that this is not a remote position.
The hours are:

  • 10:30 am - 7:30 pm Monday - Thursday
  • 8:00 am - 5:00 pm Friday
  • Saturday rotation (with weekday off)
Key Responsibilities Include:
  • Provide support to the clinical staff by reviewing all refill requests and ensuring that the medication protocol/guidelines have been met
  • Manage refill requests that are submitted from multiple sources: refill telephone line, E-prescribe, refill mailbox, refill Hushmail account, patient portal accounts and fax machine
  • Possess critical thinking skills as well as the clinical knowledge required to process refill requests per protocol/guidelines
  • Calculate when refills are due prior to sending to provider for authorization
  • Authorize drug refill as directed by provider per guidelines with the authorization to telephone /fax prescription to a pharmacy
  • Update patient care information in EMR related to medication refills
  • Manage refills in a timely fashion making adjustments to complete refills in the designated timeframe
Qualifications:
  • Certification as Pharmacy Technician or Medical Assistant/LNA is preferred but willing to train the right individual
  • High School diploma or GED required
  • Prior experience in a physician's office, pharmacy, or customer service setting; minimum of 2 years' previous experience preferred
  • Excellent interpersonal and communication skills with emphasis on customer service
  • Ability to follow oral and written instructions
  • Detailed oriented, ability to multi-task with constant interruption required
  • Above average organizational skills
  • The ability to manage time effectively and independently in a fast paced, team-orientated environment
  • Must be able demonstrate initiative, and use good judgement, and empathy when working with team and patients
  • Demonstration of ethical and professional conduct, including the ability to maintain confidentiality (HIPAA)
