Job summary

Veterans Health Administration in Fort Rucker, Alabama, seeks an Advanced Medical Support Assistant to provide administrative support for Primary Care, Mental Health, Women’s Health, and Specialty Clinics within Community Based Outpatient Clinics.

  • Collaborates and communicates with a wide range of medical clinicians across multiple disciplines to ensure appointments and care meet patient needs.
  • Schedules appointments per VHA directives, including cancellations, rescheduling, and no-shows; processes Return to Clinic orders when needed.
  • Maintains timely documentation and completes patient encounters by end of business day; coordinates patient transportation with Veterans Transportation Service.
  • Extracts medical information from electronic records while maintaining HIPAA standards and ensures appropriate actions within ISS.
  • Notifies supervisors if clinic access is limited or if a patient cannot be scheduled within mandated timeframes; manages consults for assigned clinics.

The incumbent is assigned to Health Administration Service at the Central Alabama Veterans Health Care Systems at the following location: Ft. Rucker. The Advanced Medical Support Assistants are responsible for the administrative support of the clinical services to include Primary Care, Mental Health, Women's Health and various Specialty Clinics located in the Community Based Outpatient Clinics.

Key Responsibilities

Major duties include but not limited to; Interprets and applies Veterans Health Administration (VHA) scheduling policies, business rules, and directives. Collaborates and communicates with a wide range of medical clinicians across multiple disciplines to accomplish setting to ensure medical care to the patient is met.

Schedule appointments in accordance with VHA Directive 1230 and VHA Directive 1232 (2); including canceling, re-scheduling, and no showing patient appointments and/or consults. Process Return to Clinic Orders (Query from ISS) upon check-out. If unable to complete at check-out, task must be completed within (3) days of entry. Process View Alerts for accurate disposition. Ensures appropriate patient actions are taken within ISS (scheduling, check-in, check-out, and no-shows).

Extracts medical information from electronic records when requested by Providers, Social Workers, Nurses, and Supervisors while maintaining HIPPA standards. Ensures patient encounters are completed for clinics assigned by the end of each business day (no-shows and patient cancellations through AudioCare, VEText, etc.). Coordinates patient transportation and/or travel concerns with the Veterans Transportation Service and Bene-Travel Staff.

Provides information on medical center policies and procedures. Notifies Supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes. Responsible for the tracking and management of consults for clinics assigned. Responsible for providing feedback to providers when additional information for scheduling is required.

Ensures consults greater than 90 days have proper documentation for additional scheduling attempts or dispositioning as directed by VHA Directive . Work Schedule: Monday - Friday 7:00am - 5:00pm. Work schedule may vary based on the geographic location and based on the needs of the agency.

Pay: Competitive salary and regular salary increases Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.

Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA Insurance: Federal health/vision/dental/term life/long-term care (many federal insurance programs can be carried into retirement) Telework: Not available Virtual: This is not a virtual position.
