Description

SUMMARY:

This position is located at our Cranston/East Greenwich, RI clinical sites.

Schedule:

  • Monday-Thursday 4:00 PM - 9:00 PM (Cranston)
  • Saturday 8:00 AM - 12:00 PM (East Greenwich)

The Medical Secretary will greet patients, obtain personal and insurance information, establish patient accounts, disclose policies, collect payments, locate previous films, and ensure patient materials are complete before examinations. The candidate should interact professionally with patients, physicians, staff, and coworkers, maintaining smooth patient flow. Additional duties include assisting patients, managing supplies, and maintaining work area cleanliness.

Principal Duties and Responsibilities

  • Provide excellent customer service: answer calls promptly, greet patients courteously, respond to inquiries, schedule appointments, keep patients informed about wait times, and exhibit helpful behaviors.
  • Obtain demographic and insurance details, request prior films, respect patient privacy, and distribute privacy policies.
  • Scan documents such as licenses, insurance cards, policies, referrals, and HIPAA forms; confirm/update records in the system.
  • Collect co-pays, deductibles, and outstanding balances; obtain credit card info for out-of-pocket expenses.
  • Post charges and payments accurately.
  • Review incoming referrals.
  • Coordinate with radiologists and physicians as needed.
  • Ensure films and records are correctly completed for patient identification, billing, and statistics; contact physicians for authorizations and document accordingly.
  • Notify the Lead Secretary of supply needs.
  • Deliver reports and transport films as required.
  • Handle requests for medical records, CDs, and films.
  • Maintain equipment operation; report issues immediately.
  • Assist technologists and other staff outside primary duties when needed.
  • Be flexible and available as scheduled.

Basic Knowledge

  • Physical dexterity for handling films and files.
  • Interpersonal skills for effective communication with patients, physicians, and staff, including those under stress.
  • Organizational and analytical skills for data management.

Education/Certifications

High School Diploma required; graduate of a Medical Secretarial Sciences program preferred.
