Summary Statement

This position works in the Health Information Management Unit which is responsible for the maintenance and security of records for all service participants for the Division of Developmental Disabilities Services. Contacts departmental health personnel, public and private health care facilities which include labs, clinics, hospitals, physicians, nurses, therapists, families/guardians, and Archives. Prepares, distributes, and files records, documents, census, and charts. Manages Protective Health Information according to federal, state, and facility regulations, policies, and procedures.

Essential Functions

  1. Reviews and evaluates medical records and reports for completeness and conformity with standards; resolves deficiencies in information.
  2. Codes and records diagnoses of diseases, operations, illnesses, and special therapies in accordance with the specific nomenclative and classification system.
  3. Opens and closes case files; indexes and files medical records and reports; maintains tickler file and patient registry for tracking and reporting purposes.
  4. Coordinates a variety of activities with public and private health care facilities such as the receipt and transfer of medical records and reports, patient or client testing/treatment needs, referrals, clinic schedules, and physician/patient appointments.
  5. Transcribes medical dictation.
  6. Prepares medical records for microfilming and storage in archives.
  7. Compiles data and prepares a variety of medical and statistical reports.

Job Requirements

JOB REQUIREMENTS for Medical Records Technician: Applicants must have education, training, and/or experience demonstrating competence in each of the following areas:

  1. Six months experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, interpreting information, and tracking and monitoring activities.
  2. Six months experience in record keeping.
  3. Knowledge of medical terminology.
  4. Knowledge of using an automated information system to enter, update, modify, delete, retrieve/inquire, and report on data.

Conditions of Hire

Pre-employment Drug Testing: Upon a conditional offer, you must undergo pre-employment drug testing as part of the hiring process.

Criminal background check: A satisfactory criminal background check is required as a condition of hire. The recruiting agency may require the applicant to pay for the criminal background check as part of the conditional offer of hire. Upon a conditional offer, the applicant must undergo a pre-employment baseline two-step tuberculin skin test (TST) as part of the hiring process.
