Job summary

Compass Oncology is seeking a Medical Records supervisor to oversee the operations of the medical records department at their Rose Quarter Cancer Clinic. Qualifications

  • Minimum five years medical records experience in a medical office or hospital setting.
  • Previous experience in management and supervision of a medical records department preferred.
  • RHIT or RRA certification preferred.

Employment Type: Full-Time (40 hours), M-F

Location: Rose Quarter Cancer Clinic (265 N Broadway Portland, OR 97227).

  • Please Note: This position is expected to relocate to our Clackamas Clinic in November or December 2025.

Salary Range: $60,000-$91,500 salaried

**Final offer amounts are determined by multiple factors including candidate experience and expertise as well as internal employee equity considerations.

SCOPE: Responsible for overseeing daily operations of medical records department. Assures all functions are carried out in a productive manner. Assists with maintaining completeness, accuracy and confidentiality of medical records by ensuring compliance with the departments policies and procedures. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.


Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plans, coordinates, and supervises Medical Records staff. Assists with establishing policies and procedures for the distribution and use of medical records.
  • Supervises, trains, and orients assigned personnel. Assigns work, arranges for coverage, and oversees daily operations.
  • Reviews performance and recommends merit increases, promotions, and disciplinary actions. Assists with data collection, reports, and compilation of statistical data from medical records.
  • Responds to requests from physicians, administration, practice, and medical staff regarding Medical Records department procedures and personnel. Develops and updates department policies and procedures to ensure the integrity of charts; ensures that all department activities meet quality and legal standards.
  • Performs all functions of the Medical Records department when necessary. Proofreads and corrects all reports from the department. Demonstrates a thorough knowledge of subordinates’ roles. Monitors production standards and resolves department issues with appropriate administrators.
  • Ensures all equipment is maintained and kept in good working order. Oversees transcription of medical dictation to provide a permanent record of patient care.
  • Oversees that patient charts are maintained in chronological and working order. Performs various medical record duties assuring all facets of the department are operating according to schedule, assisting when necessary.
  • Searches for necessary charts needed by medical support staff. Pulls charts for scheduled appointments in advance, inserting outguides for future reference.
  • Checks medical records voicemail for messages and assigns tasks to appropriate personnel as required.
  • Uses reference materials appropriately and efficiently to ensure accuracy, clarity, and completeness of reports. Formats reports according to established guidelines. Demonstrates understanding of the medicolegal implications and responsibilities related to the transcription of patient records to protect the patient and the clinic/corporation.
  • Understands and complies with policies and procedures related to medicolegal matters, including confidentiality, amendment of medical records, release of information, patients’ rights, medical records as legal evidence, informed consent, etc.
  • Recognizes and reports unusual circumstances and/or information with possible risk factors to the supervisor.
  • Supervises the daily activities of employees within the medical records department.

Qualifications

Education:

  • High school diploma or equivalent required.
  • Graduate of an accredited program in medical record administration.

Experience/Training:

  • Previous experience in management and supervision of a medical records department preferred.
  • Minimum five years medical records experience in a medical office or hospital setting.
  • RHIT or RRA certification preferred.
  • Prior lead or supervisor experience is a plus but not mandatory.

Additional Skills:

  • Strong communication skills and a personable, professional demeanor.
  • Detail-oriented with excellent organizational abilities.
