Job summary

Aviata at Lakeside Oaks in Dunedin, FL is seeking a Medical Record Coordinator to join a patient- and family-focused team. The role focuses on organizing and directing the medical records department, maintaining active and discharged records, and ensuring compliant filing practices.

You will file nurse notes, assessments, lab reports, and other documentation, assist with scheduling assessments under OBRA guidelines, and support coding accuracy and records requests in line with federal and state

Qualifications

• Must have knowledge of medical terminology, anatomy and physiology, and health information legal aspects.
• On-the-job training provided in medical records and health information system procedures.
• High school diploma or GED required.
• Certified medical records practitioner preferred.
• Experience in maintaining medical records and ICD-10CM/DRG coding.
• Knowledge of accreditation standards and compliance requirements.
• Qualified, compassionate, and dedicated to quality work.

Responsibilities

• Organize, plan and direct the medical records department per policies.
• Maintain active and discharged records in the established system.
• Ensure compliant filing system and document handling.
• File nurse notes, assessments, progress notes, labs, X-ray results.
• Collect and file resident charts as required.
• Assist MDS Coordinator with scheduling assessments per OBRA guidelines.
• Review records for ICD-9-CM coding to ensure accuracy.
• Respond to requests for medical records copies in line with federal and state laws.
• Develop and implement ideas to improve systems and processes.

Major Responsibilities

• Assist in organizing, planning and directing the medical records department in accordance with established policies and procedures.
• Maintain active and discharged medical records with established system.
• Establish & maintain compliance with recognized system for filing.
• File information such as nurse’s notes, resident’s assessments, progress notes, lab reports, x-ray results, correspondence etc.
• Collect, assemble, check & file resident charts as required.
• Assist MDS Coordinator in scheduling assessments in accordance with current facility and OBRA guidelines.
• Review all records to assure ICD-9-CM coding is complete
• Respond to request for medical records copies & provide material in accordance with applicable federal & state laws.
• Provide innovative, responsible healthcare with the creation and implementation of new ideas and concepts that continually improve systems and processes to achieve superior results.

Minimum Qualifications

• A working knowledge of medical terminology, anatomy and physiology, legal aspects of health information.
• On-the-job training provided in medical record and health information system procedures.
• Must possess, as a minimum, a high school diploma or GED.
• Certified as a qualified medical records practitioner preferred.
• Documented training, supervision and experience in maintenance of medical records and ICD-10CM/DRG coding.
• Knowledge of accreditation standards and compliance requirements.
• You must be qualified, compassionate, and dedicated to a job well done.
