Overview

Practice Administrative Associate serves to coordinate patient care and physician activity by greeting all patients/visitors, answering telephone calls, scheduling appointments, maintaining patient medical records. The position requires knowledge of front desk medical office operations. Essential duties and responsibilities include the following. Other duties may be assigned.

Responsibilities
  1. Maintain appointment schedule template (alterations, deletions, additions).
    • Responsible for communicating schedule changes to the appropriate staff members and physicians/providers.
  2. Coordinate the ongoing operation of the check-in process and front desk to ensure quality, cost-effective, and efficient services.
    • Receive patients at arrival, verify and obtain all necessary information and signatures in accordance with NEMG policies and procedures.
  3. Answer telephone calls to the office, assist callers courteously, take accurate messages, and refer callers to appropriate personnel when necessary.
    • Maintain proper telephone etiquette when speaking with patients, companies, and healthcare team members.
  4. Execute pre-authorizations as required by insurance companies for diagnostic tests and procedures.
    • Track referrals coming into the practice.
  5. Maintain electronic and paper medical records in accordance with NEMG policies and procedures.
  6. Handle daily activities such as message retrieval from answering services, voicemails, fax distribution, filing, photocopying, and mail sorting.
    • Forward phones to answering services and notify about physicians' on-call status.
  7. Collect and reconcile co-payments and cash drawer transactions within Epic, following NEMG policies.
    • Include cash, checks, and credit card payments.
  8. Participate in quality improvement and evaluation activities, attend staff meetings, and contribute to team efforts.
    • Engage in patient and family feedback initiatives to improve healthcare experiences.
  9. Perform additional tasks as requested by physicians or management, including cross-coverage and assisting with patient procedures as needed.
Qualifications

Education: High School degree or equivalent required.

Experience: At least 1 year of administrative healthcare experience or 2 years of administrative office experience required.

Skills: Excellent organizational, communication, customer service, and teamwork skills. Ability to multi-task is essential. EMR experience preferred; working knowledge of Microsoft Office required. A patient-centered approach and professional communication skills are necessary to promote continuity of care and a positive clinical image.
