We are looking for a friendly, patient-focused, and efficient person to join our Reception Team.

Role:

The role can be either a full-time position or two part-time positions, working a two-week shift rota. Please specify your preferred hours in your application; this will be discussed at the interview.

Full-time role, 37.5 hours per week:

Week 1: Monday to Friday 08:00 - 16:00

Week 2: Monday to Friday 10:30 - 18:30

Part-time role 1, 15 hours per week:

Week 1: Monday & Tuesday 08:00 - 16:00

Week 2: Monday & Tuesday 10:30 - 18:30

Part-time role 2, 22.5 hours per week:

There may be an opportunity to choose alternative working days with this role.

This role involves receiving, assisting, and directing patient inquiries to access the appropriate service or healthcare professional in a courteous, efficient, and effective manner.

Provide general assistance to the practice team and project a positive, friendly image to patients and visitors, either in person or via telephone.

Comfortable working environment with air conditioning for summer months.

Main duties of the job

The candidate should be well-organized, possess excellent telephone manners, be able to cope under pressure, have good communication skills, and be computer literate. Experience with Emis Web is preferred, but training can be provided.

It is essential that the candidate has a caring approach and is a good listener! Be a team player and motivated to provide caring and efficient service to our patients as part of a wider team.

About us

We are a friendly, well-organized GMS Practice located in a purpose-built surgery on the outskirts of Worcester, serving just over 11,500 patients. Our team includes GPs, ANPs, PAs, nurses, supported by management, administration, and reception staff.

We are part of the Worcester City Primary Care Network and have strong links with associated teams within this organization.

We encourage staff participation in regular meetings, protected learning times, and continuous role development.

Job responsibilities

Administration

  • Thorough knowledge of all practice procedures
  • Work in accordance with written protocols
  • Patient navigation/signposting to various services and PCN Hub

Reception

  • Consult with practice clinical teams
  • Navigate patients to correct services and triage appointments
  • Cover for annual leave/sickness when required

Appointments

  • Process appointment requests for same-day and future appointments via phone and in person
  • Handle visit requests

Computer

  • Register new patients and update records
  • Process changes of address and other data

Telephone

  • Knowledge of the cloud telephony system (training provided)

Other Tasks

  • Maintain a clear desk policy and adhere to practice policies
  • Ensure building security (doors, windows, alarm)
  • Perform any other tasks as directed by managers

Confidentiality:

  • Respect patient privacy and handle sensitive information appropriately
  • Maintain confidentiality of all practice and patient information
