Job description

About Our Practice:

Foot & Ankle Specialists of NJ is an established, busy, multi-physician podiatry practice dedicated to providing exceptional foot and ankle care in a professional, compassionate, and patient-centered environment.

We are seeking a reliable, organized, motivated, and personable Full-Time Medical Receptionist to join our growing team.

Our ideal candidate is someone who enjoys working with patients, thrives in a fast-paced medical office, communicates professionally, and can manage multiple responsibilities while maintaining accuracy and attention to detail.

The medical receptionist plays an essential role in the daily operations of our practice and is often the first point of contact for our patients. We are looking for someone who understands the importance of excellent customer service, teamwork, patient confidentiality, and maintaining an efficient front office.

This position requires availability to work at BOTH our Scotch Plains and Union office locations.
Key Responsibilities:
Patient Check-In & Check-Out:
  • Greet patients warmly and professionally upon arrival.
  • Check patients in and out efficiently while maintaining a welcoming office environment.
  • Verify and update patient demographics, contact information, insurance details, and required documentation.
  • Ensure all necessary patient forms, consents, and registration paperwork are completed accurately.
  • Collect copayments, outstanding balances, and other patient payments at the time of service.
  • Schedule follow-up appointments and provide patients with necessary appointment information.
  • Address patient questions and concerns professionally, escalating clinical matters to the appropriate team member.
Appointment Scheduling & Calendar Management:
  • Schedule new patient appointments, follow-up visits, postoperative appointments, and other office services.
  • Maintain accurate provider schedules while following practice-specific scheduling guidelines.
  • Confirm upcoming appointments and assist with cancellations and rescheduling.
  • Coordinate appointments across multiple physicians and office locations.
  • Recognize urgent patient concerns and promptly communicate them to the clinical team.
  • Help minimize scheduling errors, appointment gaps, and unnecessary delays.
Telephone & Patient Communication:
  • Answer incoming telephone calls promptly, courteously, and professionally.
  • Manage a high volume of incoming calls while assisting patients at the front desk.
  • Respond to patient inquiries regarding appointments, office locations, insurance participation, and general office policies.
  • Take accurate, detailed messages and route them to the appropriate provider or staff member.
  • Return patient calls and respond to office emails in a timely manner.
  • Maintain a calm, respectful, and professional demeanor when assisting frustrated or upset patients.
  • Recognize potentially urgent medical concerns and promptly notify the appropriate clinical staff rather than providing medical advice.
Insurance Verification & Administrative Support:
  • Verify patient insurance eligibility, benefits, copayments, and referral requirements.
  • Obtain and document referrals when required by insurance plans.
  • Communicate insurance-related information clearly and accurately to patients.
  • Assist with collecting outstanding patient balances and addressing basic billing inquiries.
  • Maintain accurate patient records within the electronic medical record (EMR) system.
  • Scan, upload, fax, and organize medical documents, referrals, and correspondence.
  • Coordinate with physicians, medical assistants, and billing staff to ensure smooth daily operations.
  • Assist with preparing patient letters, work notes, school notes, and other administrative documents as directed.
Daily Front Office Operations:
  • Review upcoming schedules to identify missing insurance information, referrals, or incomplete documentation.
  • Monitor front desk emails, telephone messages, and assigned administrative tasks.
  • Ensure patient information and appointment details are entered accurately.
  • Maintain an organized, clean, and professional reception area.
  • Assist with general office responsibilities and administrative projects as needed.
  • Follow established office procedures and help maintain consistent workflows between both locations.
  • Work collaboratively with physicians, medical assistants, and other administrative staff.
Qualifications & Requirements:
Required Qualifications:
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Professional, friendly, and compassionate approach to patient care.
  • Ability to multitask and prioritize responsibilities in a busy medical office.
  • Dependable attendance, punctuality, and a strong work ethic.
  • Comfortable using computers, email, telephone systems, and office software.
  • Ability to handle confidential patient information in accordance with HIPAA requirements.
  • Willingness to learn new systems, follow office protocols, and accept constructive feedback.
  • Ability to work independently while contributing positively to a team environment.
  • Reliable transportation and flexibility to work at both office locations.
Preferred Qualifications:
  • Previous experience as a medical receptionist, patient service representative, or medical front desk coordinator.
  • Experience working in a podiatry, orthopedic, surgical, or other specialty medical practice.
  • Familiarity with electronic medical record systems, particularly Athenahealth (AthenaOne).
  • Knowledge of medical terminology, insurance verification, referrals, copayments, and patient billing.
  • Experience managing multiple provider schedules.
  • Familiarity with Medicare, commercial insurance plans, and general medical office procedures.

Previous medical office experience is strongly preferred; however, candidates who demonstrate excellent communication skills, dependability, professionalism, and a willingness to learn will also be considered.

What We Are Looking For:

We value individuals who take pride in their work and understand that the front desk is an essential part of the patient experience.

The ideal candidate will be:

  • Dependable: Arrives on time, maintains consistent attendance, and follows through on assigned responsibilities.
  • Patient-Focused: Treats every patient with kindness, patience, dignity, and respect.
  • Detail-Oriented: Understands the importance of accuracy when scheduling appointments, verifying insurance, and documenting information.
  • Organized: Can manage multiple tasks without losing track of important responsibilities.
  • Adaptable: Is comfortable adjusting to changing schedules, physician needs, and daily office demands.
  • Professional: Maintains appropriate communication, appearance, and workplace conduct.
  • Team-Oriented: Willingly assists coworkers and contributes to a respectful, supportive work environment.
  • Proactive: Takes initiative, identifies tasks that need attention, and works toward solutions.

We are looking for someone who wants to become a valued, long-term member of our practice rather than simply fill a position.

Schedule & Office Locations:
Employment Type: Full-Time, In-Person.

This position requires working at both of our New Jersey locations based on practice scheduling and staffing needs.

Candidates must be able to reliably commute to both locations.

Compensation:
Starting Pay: $17.00 per hour.

Compensation and future growth opportunities may be reviewed based on experience, job performance, reliability, and the evolving needs of the practice.

Why Join Our Team?

At Foot & Ankle Specialists of NJ, we believe that exceptional patient care begins with a dedicated and supportive team.

This position offers the opportunity to:

  • Work in an established, multi-physician specialty medical practice.
  • Gain valuable experience in podiatry, medical office administration, and patient coordination.
  • Develop knowledge of medical scheduling, insurance processes, and electronic health records.
  • Work directly with experienced physicians and healthcare professionals.
  • Become an important part of a team committed to providing excellent patient care.

We look forward to welcoming a dependable, enthusiastic, and patient-focused individual to our team!
