POSITION SUMMARY
The Medical Receptionist’s primary responsibilities include greeting patients, check-in and check-out processes, managing the center’s wait room, maintaining a clean environment, managing provider throughput, answering phones, and scheduling appointments for a high patient volume medical office. Ensure to provide exceptional customer service during each patient encounter while applying multitasking and detail-oriented accuracy in obtaining and ensuring collection of valid patient demographics and insurance information. Apply effective time management and patient tracking, working with back office staff to ensure patients are seen in a timely manner. This position reports to the Site Administrator with a dotted line to the Revenue Cycle Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Warmly greet all patients and visitors as soon as they enter the office suite/waiting area, ensuring use of exceptional customer service at all times.
- Assist patients in signing in upon their arrival.
- Patient Registration: Validate, collect, obtain appropriate signatures, documents, and enter the information into the office EMR system, ensuring accurate collection of:
- Primary Care provider
- Patient contact information: phone, email, home/mailing address
- Insurance information, including subscriber details:
- Verify insurance eligibility at each encounter or provide self-pay options when applicable
- Validate system entries to ensure appropriate payers are assigned based on visit type (behavioral health vs. office visits)
- Verify patient-insurance relationship by viewing Photo ID and Insurance Card.
- Obtain signed consents to treat, assignment of benefits, Notice of Privacy Practice, and demographic information.
- Collect patient responsible amounts, including co-payments, payments on account, and self-pay payments.
Follow best practices related to registration, check-in, and check-out; participate in self-monitoring and cyclical audits; address identified gaps promptly.Answer front desk phones, resolve caller questions, or route calls efficiently.Manage front desk coverage, including Care Phone assignments.Schedule patients, reschedule as needed, and call patients from the Emergency Department list for post-discharge visits within 30 days.Provide organization information and directions to callers.Perform clerical duties such as filing, photocopying, and maintaining patient check-in documents.Optimize patient satisfaction, provider time, and treatment room utilization; adhere to scheduling guidelines.Keep patients on schedule by notifying providers of arrivals, delays, and escalating delays over 15 minutes.Create a welcoming environment in the reception area.Maintain patient records in EMR, forward large files to HIM department when needed.Update and maintain patient accounts with current personal and financial information.Manage front office inventory and equipment, including ordering supplies.Respond to emergencies per posted protocols.Maintain confidentiality of patient information and ensure compliance with policies.Follow policies and procedures; report needed changes.Contribute to team efforts as needed.POSITION REQUIREMENTS
A. Education
- High School diploma or GED.
B. Qualifications/Experience
- At least one (1) year of experience in a medical front office setting or similar.
- At least one (1) year of experience with insurance eligibility/verification.
- Medical Assistant front office experience preferred.
