What you'll do

The Medical Office Assistant III serves as the first point of contact for patients within the Bassett Healthcare Network. This key role in the patient-centered care team demonstrates excellence in all patient and customer encounters, including face-to-face and telephone interactions. You will ensure a high-quality patient experience by providing administrative support to ambulatory patient care teams through excellent customer service, attention to detail, and interpersonal skills. Responsibilities include providing clear, accurate, and timely communication to nurses and providers regarding patients, scheduling patients for optimal care and provider efficiency, and collecting demographic and financial information during scheduling and registration processes to ensure full and timely revenue capture. You may also have direct revenue responsibilities through payment collection, cash handling, and processing insurance eligibility and managed care information. Additionally, you will act as a subject matter expert in areas such as Scheduling, Registration, Referrals, and train new staff members.

  • Reception/Call Handling
    Your duties include greeting patients courteously, providing Welcome Packets to new patients, addressing emergent situations, answering phones professionally, taking accurate messages, offering MyBassett sign-up, and keeping patients informed of schedule delays. You will also train new staff in reception and call handling functions, and manage telephone queue assignments.
  • Registration/Appointment Scheduling/Referrals
    This involves obtaining and verifying patient information, scheduling appointments, managing referrals, supporting compliance with regulations, and ensuring accurate data entry. You will also handle patient questions, update communication preferences, and ensure proper documentation and authorization for referrals.
  • Collection of Payment/Cash Handling
    Responsibilities include conveying payment expectations, accurately processing payments, balancing cash drawers, and managing petty cash in accordance with policies.
  • Office Support/Cross Coverage/Confidentiality
    This encompasses handling patient information securely, managing correspondence, scanning and indexing documents, coordinating with departments, managing supplies, and supporting various operational tasks including system downtime procedures, meeting minutes, and staff scheduling.
What we need from you

Education: High School Diploma or GED preferred; Associate Degree preferred.

Experience: Minimum of 3 years relevant work experience required; an Associate Degree may substitute for 2 years of experience.

Skills: Computer skills, customer service, time management, teaching, confidentiality, and interpersonal skills.

Physical Requirements: Sedentary work with occasional lifting, reaching, and repetitive motions. Visual and auditory acuity required.

Hazards: Occasional exposure to bodily fluids and bloodborne pathogens.

Pay Range
