Affiliated Clinical Services (ACS) is an Outpatient Mental Health and Substance Abuse Clinic with two locations in Washington County. Our dedicated team of 30 clinical professionals specializes in various clinical approaches to individual, family, couples, and group therapy. ACS offers comprehensive and integrated substance abuse treatment with various levels of intensity and medications to aid in addiction recovery. We believe in a collaborative approach to deliver more effective treatments and value partnerships with other agencies, including medical clinics, schools, law enforcement, and media.

Role Description

This is a full-time on-site role as a Medical Insurance Collections and Staff Support Specialist located in West Bend, WI. The specialist will be responsible for managing insurance collection processes, communicating with patients and insurance companies, and ensuring accurate financial records. Additional tasks include providing support to clinical staff and utilizing computer systems for data entry and record management.

In this position you will research outstanding insurance balances, contact insurance companies and find a resolution for claims payment. In addition you will be professionally answering phone calls, scheduling appointments, assisting clients with the highest level of confidentiality, working closely with our clinical staff and business manager with staff support tasks. Office & computer experience required, collections and accounts receivable experience preferred but not required. Hours are Monday-Friday 7:30am-4:00pm , in our West Bend office. These are set hours, in addition we are looking for this person to be flexible to flex hours as needed to work a later shift of 8:00am-4:30pm.

Job Duties:

Insurance Collection Duties:

  • Coordinate monthly insurance meetings with ACS insurance Reps
  • Discuss with Andrea where we are at with ERA’s
  • Run Insurance monthly report work with Ashley
  • Print tickets and problem solve with Kari, Andrea or Ashley
  • Resubmit claims and follow up
  • File insurance complaints with the State as needed
  • Follow up on recoupments and send letters to client
  • Discuss with Kelli any major insurance payment issues
  • Assist with recording of insurance ERA’s(in future)

Provider/Staff Support Duties:

  • Work Check-in/Check-out window Monday, Wednesday & Thursday till 10am and assist on Fridays as needed
  • Answer multi-line phone system, Screen calls and transfer to voicemail system to the appropriate person
  • Schedule appointments in a computerized EHR for 30 providers
  • Check-in/Check-out clients, Collect copayments and deductibles from clients write out receipts and give change
  • Fill in out front as needed
  • Manage/Set up Holiday, Business meeting, Staffing, groups, any recurring blocks in providers schedules in Procentive
  • Procentive staff set up/Extern to licensed provider transition in Procentive
  • Manage office room schedule changes/additions
  • Allworx Phone system set up for new staff, holiday schedules
  • Update phone Extension spreadsheet and hand out to staff(Support staff laminate, provider offices not needed)
  • Balance petty cash daily

**Duties could be modified by business manager at some point to fit business needs

**Pay will be based on experience

  • Ability to work on-site in West Bend, WI
  • Experience in a healthcare or clinical setting is a plus
  • High school diploma or equivalent; further education in finance or related field is beneficial
