Overview and Responsibilities

Job Summary: We are seeking a dedicated Customer Service Representative to join our team. You will be responsible for tasks and communication related to patient information concerning durable medical equipment and respiratory products and supplies, interacting with patients/clients, co-workers, and referral sources related to patient services and third-party reimbursement.

Essential Job Duties and Responsibilities:

  1. Assist with updating respiratory grid.
  2. Clear previous day's route and check all paperwork for accuracy and completeness.
  3. Communicate with patients/clients and referral sources both verbally and in writing to address questions and concerns promptly.
  4. Complete SOPs/CMNs and document on tracking log.
  5. Comply with all applicable policies and procedures to meet JCAHO and company standards.
  6. Coordinate all patient information, process paperwork for Billing Department, and complete batch reports for UPS deliveries.
  7. Maintain referral log.
  8. Monitor office supplies.
  9. Prepare deposits and invoices as required.
  10. Process paperwork, confirm tickets, input new patient setups, and assemble charts.
  11. Provide service for retail/walk-in equipment requests.
  12. Offer technical assistance to customers.
  13. Verify Medicare, Medicaid, and private insurance coverage.
  14. Work with outside agencies to resolve customer issues.
  15. May be required to cover on call, drive a company vehicle, and make home deliveries to patients.

Additional requirements include regular attendance, ability to work cooperatively, polite interaction with patients and referral sources, multitasking, and performing other duties as assigned.

Qualifications:

  • Background investigation and drug screening as applicable.
  • Valid driver’s license with a clean record (if applicable).

Required Education and/or Experience:

  • High school diploma or GED.
  • Preferred: experience with medical equipment, billing, medical field, or administrative record management, and at least one year of related work experience.

Skills and Competencies: Accurate math, effective communication, confidentiality, multitasking, organization, self-motivation, and teamwork.

Machines and Technical Skills: Email, internet, Microsoft Outlook, Word, Excel, and basic office equipment.

Physical Demands: Lifting up to 35 pounds, potential for home visits, and contact with patients and equipment, requiring sitting, standing, and visual acuity.
