Job description

Description

This position provides direct administrative support to the Clerkship Director for the Neuroscience Institute (NSI), Department of Neurology. It may also support other NSI-Neurology faculty members and serve as backup for other Office Support Specialists.

Examples of Duties

Administrative (95%)

The following duties are representative and not all-inclusive. Similar or related tasks may also be assigned.

  • Demonstrates commitment to the mission and standards of SIU School of Medicine by providing excellent service to internal and external customers, emphasizing collaboration, respect, integrity, diversity, and continuous improvement.
  • Types, proofreads, transcribes, and distributes office correspondence.
  • Acts as the primary contact and Clerkship Specialist for medical students, working closely with the Clerkship Program Director and Nurse Educator. Responsibilities include scheduling orientations, faculty, clerkship rotations, and managing student evaluations and grades.
  • Coordinates scheduling for students and faculty, preparing materials and managing testing logistics.
  • Makes travel arrangements for principals, including registrations, itineraries, and reimbursements.
  • Maintains academic appointment calendars, notifying principals of changes and upcoming engagements.
  • Maintains a research database for principals, conducting literature searches and research support.
  • Coordinates meetings, including agendas, space, catering, and materials.
  • Schedules and hosts Webex conferences for principals.
  • Handles mail, shipments, office equipment maintenance, and conference room scheduling.

Miscellaneous (5%)

  • Performs other clerical tasks as assigned.
Qualifications
  1. High school diploma or equivalent.
  2. Four years of relevant experience, including college coursework or degree in related fields and clerical or secretarial experience with electronic systems.
