Position Profile:

Bread for the City is seeking a visionary and dedicated Medical Clinic Coordinator to join our frontline mission-driven team. As the crucial first point of contact for our community, you are the face of our compassionate care, setting the tone for a dignified and accessible healthcare experience. This role requires a sophisticated balance of empathetic patient service and precise administrative execution. You will navigate the complexities of patient check-ins and appointment scheduling, all while ensuring rigorous HIPAA compliance. By bridging operational excellence with radical hospitality, you serve as an essential guardian of our patients' health outcomes and a vital advocate for those navigating the complexities of poverty in Washington, DC.

  • Clinical Intake and Coordination:
    • Promotes the organization's vision and mission through professional daily interactions with patients, staff, and volunteers;
    • Facilitates comprehensive patient intake and discharge processes for medical and specialty clinics;
    • Directs incoming telecommunications and inquiries to the appropriate departments efficiently;
    • Collaborates with clinical staff to optimize operational flow and ensure consistent coverage;
    • Processes patient medical documentation, including scanning and organizing records, in strict accordance with HIPAA guidelines;
    • Partners with the main reception team to ensure coordinated client triage and seamless care across service departments;
    • Analyzes telephone statistics to streamline appointment scheduling and enhance new patient enrollment;
    • Addresses patient inquiries through multi-line phone systems with a high degree of professionalism;
    • Conducts proactive appointment reminders to improve clinic attendance and patient engagement.
  • Patient Navigation and Support:
    • Assesses patient needs and provides dignified, respectful assistance;
    • Coordinates internal referrals across all Bread for the City departments;
    • Supports the Referral Coordinator in managing transitions to external specialty care.
  • Operational Administration:
    • Executes administrative functions for specialty clinic operations;
    • Performs special projects as directed by clinic providers and leadership;
    • Partners with the QI & Clinic Operations Manager to maximize service capacity;
    • Develops and implements clinic policies and process improvements.
Additional Responsibilities:
  • Participates actively in organizational initiatives, staff meetings, and professional development retreats;
  • Represents the organization at community events to promote clinic services, increase community awareness, and connect individuals with available healthcare resources;
  • Manages special administrative projects as assigned by clinic leadership to support operational goals.
Professional Skills & Experience:
  • High School Diploma or GED; medical administration certifications or a degree are a plus.
  • Proven ability to thrive in a fast-paced, high-volume environment while effectively managing multiple priorities with exceptional organization and attention to detail.
  • Strong commitment to serving low-income and historically marginalized communities through compassionate, client-centered care and service.
  • Excellent interpersonal, verbal, and written communication skills, with the ability to build trust and maintain positive relationships with clients, staff, and community partners.
  • Demonstrated commitment to equity, racial justice, cultural responsiveness, gender affirmation, and trauma-informed, strengths-based approaches to service delivery (training provided as needed).
  • Exceptional customer service skills with professionalism, empathy, patience, flexibility, and a welcoming demeanor.
  • Self-motivated and dependable, with the ability to work independently while collaborating effectively as part of a multidisciplinary team.
  • Proficiency with Microsoft Office, Google Workspace (Gmail, Docs, Calendar, Sheets), and electronic data management systems.
  • Experience using Electronic Health Records (EHR), particularly eClinicalWorks, is preferred.
  • Strong data entry, documentation, and record management skills with a high degree of accuracy and confidentiality.
  • Ability to communicate effectively in English; bilingual or multilingual candidates, particularly those fluent in Spanish or Mandarin, are strongly encouraged to apply.

Preferred Qualifications:

  • Experience working in nonprofit organizations, community health centers, or human service agencies.
  • Knowledge of DC-area social services, public assistance programs, and community resources.
  • Experience supporting diverse, multicultural populations with dignity, respect, and cultural humility.
  • Demonstrated passion for advancing health equity, community resilience, and access to essential resources.
